ROLE OVERVIEW
The Legal & Business Affairs Administrator plays a key role in supporting the effective and efficient operation of the Legal & Business Affairs function at Screen Ireland. The postholder will provide comprehensive administrative and coordination support across the function, enabling the timely and compliant delivery of legal, contractual and business affairs activities.
Working closely with the Head of Policy, Legal & Business Affairs and the wider Legal & Business Affairs team, the role supports the administration of contracts, documentation, payments, correspondence and records across Screen Ireland’s funding programmes and organisational activities. The postholder will operate with professionalism, discretion and attention to detail, ensuring that information is accurately recorded, tracked and progressed in line with agreed processes and governance requirements.
This role requires strong organisational skills, the ability to manage competing priorities, and a collaborative approach to working with colleagues and internal stakeholders. The postholder will contribute to continuous improvement within the function by supporting effective workflows, record-keeping and communication practices.
FUNCTION OVERVIEW
The Policy, Legal and Business Affairs function is responsible for ensuring legal compliance, managing contract negotiations, and providing strategic legal guidance across Screen Ireland. It oversees all aspects of legal documentation, policy development, risk management, and regulatory adherence, while fostering strong internal and external relationships. The function plays a pivotal role in shaping Screen Ireland’s legal and policy frameworks, ensuring best practice in contracting, data protection, and confidentiality, and aligning legal and business practices with the organisation’s values and strategic objectives.

It is anticipated that in order to have the required skills and competencies, the Legal & Business Affairs Administrator post will be at the First Point level.
REPORTING LINE(S)
This role reports directly to the Head of Policy, Legal & Business Affairs and will work closely with the wider Legal & Business Affairs Team, and internal stakeholders to ensure effective coordination, communication, and delivery of key activities. Reporting arrangements may be reviewed periodically to reflect organisational needs.
KEY RESPONSIBILITIES
Provide administrative support across the Legal & Business Affairs function, including the administration of contracts, agreements and associated documentation.
Support the processing and tracking of contractual documentation, approvals and payment-related information in line with agreed procedures.
Maintain accurate and well-organised filing, records and trackers to support governance, audit and reporting requirements.
Manage and coordinate correspondence, documentation and information flows for the Legal & Business Affairs team, ensuring timely follow-up and action.
Liaise with internal stakeholders to support the progression of projects, contracts and related administrative requirements.
Draft, format, proofread and quality-assure correspondence, reports and briefing materials to ensure accuracy, clarity and consistency.
Support the preparation of reports, summaries and information for internal and external stakeholders, as required.
Assist with annual planning, progress tracking and routine reporting activities within the function.
Support compliance with internal policies, procedures and governance frameworks, including data protection and confidentiality requirements.
Contribute to the maintenance and effective use of systems and tools used by the function, including document management and information tracking systems.
Identify opportunities to improve administrative processes and workflows and contribute to their implementation.
Provide flexible administrative support across the team, responding to changing priorities and workload demands.
The postholders will contribute flexibly across the team, supporting colleagues with activities aligned to the Clerical Officer grade. This collaborative approach ensures opportunities for shared learning, role development, and responsiveness to team priorities.

KEY REQUIREMENTS ESSENTIAL
A minimum of two years’ relevant experience in an administrative, coordination or support role within a legal, business affairs, contracts or governance related function.
Strong organisational and time-management skills, with the ability to manage multiple tasks and meet deadlines.
Good communication and interpersonal skills, with the ability to work effectively with colleagues and internal stakeholders.
Demonstrated experience providing administrative support, including document preparation, correspondence management, record-keeping and handling confidential information with discretion.
Proven ability to draft, edit and prepare professional correspondence and documentation with a high level of accuracy and attention to detail.
Proficiency in Microsoft Office applications and digital collaboration tools (e.g. SharePoint, Teams), with the ability to use systems to support efficient administration.
Ability to work both independently, using their own initiative and as part of a team, following established procedures and exercising sound judgement appropriate to the role.

At Clerical Officer level, the postholder will demonstrate a positive and flexible approach to change in day-to-day work. The postholder will take responsibility for developing their own knowledge and skills, remain open to feedback, and apply learning to improve how tasks are carried out.

The postholder will carry out tasks accurately and in line with agreed procedures, using available information and guidance to support effective delivery. They will organise their work to meet deadlines, follow instructions carefully, and maintain accurate records and documentation. Where issues arise, the postholder will highlight them appropriately and contribute to solutions within their role, supporting consistent and reliable service delivery.

The postholder will communicate clearly, politely and professionally with colleagues and stakeholders, both verbally and in writing. DESIRABLE ATTRIBUTES
Knowledge of, or experience working within, arts management, the Irish public sector or a state agency environment.
Familiarity with basic financial administration, payment tracking or procurement-related processes.
An understanding of the Irish screen, audiovisual, cultural or creative industries.
Proficiency in the Irish language.
ROLE DETAILS AND TERMS
This position is at the Clerical Officer level and is remunerated at €31,921.15. This role will be filled in line with Public Pay Policy at the first point of this Salary Scale unless the successful candidate is appointed from an existing public sector role. Application of 1 June 2026 pay adjustments.
This is a full-time permanent position.
The successful candidate will be required to sign the Screen Ireland Code of Conduct.
The role will have a 6-month probation period.
The person will report directly to the Head of Policy, Legal and Business Affairs.
The post will be based in Dublin
Annual leave (excluding bank holidays) of 22 days.
Start Date as soon as possible.
