Maintenance Coordinator
OVERALL ROLE OBJECTIVE: The primary responsibility of the Maintenance Coordinator is to support the day-to-day activities of the ACS Engineering team. This includes managing the Engineering Stores: ordering, receiving, organising, issuing and maintaining accurate inventory records for the parts and materials used during Planned and Unplanned maintenance activities. In addition, the role oversees the scheduling and coordination of statutory inspections and third-party contractors.
JOB SPECIFIC RESPONSIBILITIES:
Spare Parts:
Development and Continuous Improvement of ACS CR and DK Engineering Stores and stock management processes.
Update stock holding, e.g. new equipment arrivals, equipment decommissioning, feedback from Engineers etc.
Ensure all stock items are allocated unique identifiers, logged on the database and there is alignment of references across all Maintenance Systems.
Incorporate Maintenance Inventory into CMMS (eMaint).
Liaise with the Maintenance team and order/stage parts required for upcoming maintenance activities.
Generate picking lists for Planned Maintenance activities.
Manage consumable inventory, including lubricants and expiry dates.
Support the procurement of non-stock items as and when required.
Track progress of live orders and update the Plant and Equipment team as required.
Perform routine stock checks to ensure accuracy of published levels.
Maintain stores in an audit-ready state.
Documentation:
Manage Engineering Technical library ensuring manuals and drawings are current and accessible when and where required.
Cost Management:
Identify areas where cost savings can be made with regard to Engineering Stores inventory, for example, different suppliers, standardising components etc.
Liaise with purchasing to streamline the procurement process, e.g. grouping POs, improving the receipting process etc.
Contractor Management:
Organise contracts/SLAs for 3rd party servicing.
Organise service visits for planned maintenance.
Ensure external resources are approved contractors, raise permits for work and supervise whilst on site.
Organise servicing and testing of divisional vehicles.
Statutory:
Coordinate insurance inspections, including organising inspection visits, tracking outstanding issues, striving to ensure all ACS assets are in a ‘clear’ status.
Coordinate PAT testing system ensuring Asset list is up to date and all testing is carried out on time.
Reporting and Improvement:
Develop KPIs and measure individual performance against these, e.g. Engineering Stores Stock Status, Insurance inspection status etc.
Generate and publish monthly KPI reports demonstrating performance against target.
Review KPI data at departmental meetings.
Identify and implement opportunities for improvement, supporting the Process Improvement team and any other CI initiatives.
QUALIFICATIONS: GCSE English Language and Mathematics at Grade C or above (or equivalent).
EXPERIENCE: Demonstrate track record of delivering excellent results in a similar role:
Maintenance Planning.
Material ordering.
Inventory control.
Reporting. Experience of mechanical/electrical componentry. Working knowledge of Planned Preventative Maintenance procedures and systems.
KEY SKILLS: Have a good working knowledge of MS Office including Outlook, Word and Excel.
