We are Kids Inc. We provide Early Years and Afterschool Care services. With an experience of more than 25 years in the childcare industry, we're one of the most established organizations operating geographically all over Ireland. Our goal is to extend children’s daily learning by involving them in a wide range of sports and creative programs, with a strict ‘No Screen Time’ policy. With 4 Creches and Preschool services in Dublin, Kids Inc is also hosting over 60 'Onsite" Breakfast and Afterschool Care programs throughout the country.

Due to rapid expansion, we are looking for a Manager of Operations to join our Team in Leinster area. We are looking for a kind, enthusiastic, and dedicated individual with strong leadership skills and the ability to act as an ambassadors for Kids Inc Principles. The Role is strategically focused on all teams that work across Kids Inc Afterschools delivering quality, safety, and resourcing services to all areas.

Key responsibilities for the Role

  • Development of regulatory and compulsory documents to comply with TUSLA and in line with most up to date guidelines and regulation in childcare
  • Support for Area Managers in day-to-day operations and management. The role is responsible for overseeing reports from Area Managers on quality, planning and inclusion.
  • Contributing to the management of staff files and training data base in conjunction with HR function.
  • Reviewing Specialised Co-Ordinators weekly reports from a quality perspective i.e. HACCP Day folder, complaints.
  • Supporting Specialised Co-Ordinators in linking with external agencies including TUSLA notification forms and insurance, CAPA or Child Protection
  • Regular review of the structure of our central filling system to ensure the correct storage of files and information. Highlighting any GDPR concerns with HR and the Director of Business & Communications.
  • Overseeing the complaints process from start to finish, linking in with relevant stakeholders where necessary.
  • Support recruitment for the afterschool group, ensuring that staff numbers per centre meet current needs in the most cost-effective manner. Support investigation and disciplinary processes, outcome reports and support training as requested.
  • Manage and project occupancy levels.

Strategic Operations Leadership:

  • Oversee operations in collaboration with the Board of Directors to ensure cost efficiency and smooth workflow.
  • Lead and support the development of initiatives to improve processes across the operations function.
  • Contribute to and execute operational strategies to ensure cost-efficiency and scalability in alignment with the company’s growth and overall business strategy.

Policies and Procedures

  • Responsible for Updating Policies & Procedures.
  • Review and amend the Kids Inc Policies & Procedures Manual, in line with any relevant updates in statutory regulations.

Strategic Reporting:

  • Prepare regular reports on operational performance, focusing on operations efficiency, supply staffing metrics, and training costs, to support decision-making. Sending a weekly report to Director of Business & Communications.
  • Work with cross-functional leaders to support strategic decisions through detailed operational analyses and performance reviews.
  • Providing feedback on equipment needs in afterschool settings or delivering changes to systems based on the results of centres audits.

Your Profile

Essential Knowledge, Skills and Experience

  • A minimum of 5 years' work experience in childcare, reporting into senior management at Director level.
  • A strong work ethic with a clear focus on delivery to safety, time, quality, and cost objectives.
  • Strong Operation planning and management capability.
  • The demonstrated ability to meet deadlines and manage multiple priorities.
  • A flexible approach to work, especially where necessary to delivery excellent customer service.
  • Excellent communication and report writing skills.
  • A proven track record of success, contributing to the training and development of childcare professionals.
  • Good working knowledge of National Regulatory Framework for SAC and an interest in the further development of regulation of Afterschool Service
  • Ability to liaise with parents, guardians, and families and build parental partnership.
  • Ability to line manage and supervise a team, supporting their continuous personal development.
  • Have a full understanding of all guidelines as set out by TUSLA

Qualifications

Essential

  • Early Childhood Care and Education qualification and equivalent work experience is essential.
