Role Purpose:

The purpose of this position is to support the Data Protection and Freedom of Information Team across all aspects of the Team’s information management functions which includes:

Data Protection

  • Support GDPR compliance and day-to-day data protection activities.
  • Assist with data breaches, data protection queries and Data Subject Rights requests.
  • Maintain records, reports and compliance documentation.
  • Support data the design and delivery of protection training and awareness programmes.

Freedom of Information

  • Support the processing of FOI requests in line with the Freedom of Information Act 2014.
  • Conduct record searches and coordinate information gathering with business units.
  • Maintain FOI records, tracking systems and the Publication Scheme.
  • Support FOI training and awareness activities.

General

  • Provide administrative and operational support to the Data Protection and FOI Team.
  • Build effective relationships with internal and external stakeholders.
  • Contribute to the continuous improvement of processes and practices.

Key Deliverables:

The successful candidate will work in partnership with the Data Protection Officer (DPO)/Freedom of Information Officer to:

  • Develop and update policies, processes and templates to further enhance data protection across the agency to support its compliance and accountability obligations.
  • Ensure GDPR compliance in the procurement activities of the agency.
  • Support the development, implementation and delivery of GDPR training and awareness initiatives across the global office network.
  • Ensure compliance in the agency’s processing activities, the monitoring of the data protection risk register and all other data protection reference documents.
  • Ensure the concepts of privacy by design and privacy by default are considered and implemented into future project planning.
  • Assist in processing Freedom of Information requests.
  • Assist with the completion of Data Protection Impact Assessments.
  • Monitor external guidance and decisions to determine their impact on the agency's Data Protection and Freedom of Information programmes.

Functional Competencies (Skills, Experience & Qualifications):

  • A minimum of a (NFQI Level 8) 2.2 degree in a relevant discipline such as governance, law, business, public administration or government, or a related field is essential.
  • Completed your degree between January 2024 and August 2026 is essential.
  • Strong skills with Office365, Teams, OneDrive, SharePoint are essential.
  • Some exposure to data protection principles through academic studies, internships, work placements, part-time employment, volunteering or project work is essential.
  • An interest in data protection, privacy, information governance, or compliance is essential.
  • Ability to apply analytical and problem-solving skills to real-world situations.
  • Excellent verbal and written communication skills.
  • Ability to communicate clearly and confidently, including preparing and delivering presentations to a variety of audiences.
  • Ability to develop effective working relationships and collaborate with colleagues and stakeholders across teams.
  • Strong work ethic; self-starter & highly motivated.
  • Ability to manage assigned tasks, prioritise workload, and deliver work within agreed deadlines.
  • Good organisational skills with the ability to manage multiple tasks and priorities.
