Role & Essential Functions: Office Administration Manager

  • Facility Management: Manage the facility rental agreement, local county council rates, facility cleaning and security, health and safety and fire safety control, facility enhancement projects.
  • Utilities Control: Manage all utility services (electricity/water/waste disposal) and providers to ensure seamless operation of the company.
  • Information Technical & Telephony (ITT) Control: Control and maintain the Company’s ITT systems and functions, including ensuring sufficient ITT equipment and software for all functions in the Company, ensuring hardware and software licenses are maintained up to date and in good operation, controlling information back-ups, negotiating and managing all ITT contracts.
  • Operating Procurement Administration: Issue and oversee all operating purchase orders and manage key vendor contracts. Ensure that the offices and warehouse are continually stocked with required stationery and supplies to facilitate normal operations.
  • Insurance Administration: Arrange and manage all insurance policies required by the Company.
  • Company Assets Administration: Manage and administer all Company’s operating and capital assets, including maintaining the asset register and issuing control numbers. Manage company vehicles and motor expenses.
  • Office Equipment Administration: Administer staff equipment and work tools.
  • Information control: Issue and administer the internal and external company information releases.
  • General Office Administration & Secretarial Support:
  • Attend to all incoming telephone calls and post mail, acting as a receptionist for all visitors.
  • Attend all visitors and internal meetings with necessary supplies and arrangements.
  • Provide secretarial services for the CEO, as required.
  • Manage the company’s petty cash account.
  • Maintain and control the Company security codes and keys.
  • Corporate Support Administration: Manage
  • Arrange and manage all third-party professional services required by the Company.
  • Administer the induction of all new employees, including the issuance of company equipment.
  • Provide administrative support for Company marketing and advertising efforts, events and campaigns.
  • Provide administrative support for Company travel and transportation arrangements.
  • Manage company charity work and Environmental, Social and Governance (ESG) activities.
  • Organise and manage all company staff events.
  • Provide administrative support for Company staff training.

Preferred Experience:

  • At least five (5) years experience as an Office Administrator or Manager.

  • Previous office administration experience.
  • Strong computer and general IT skills.
  • Mature and stable character.

  • Good appreciation and understanding of process and procedures.

  • Good communication skills.
  • Ability to be a team player within and between departments, but can also work alone.

  • An interest in learning and developing new skills within the department
