Office Administration Manager

Education, Experience & Skills required

Each candidate must, on the latest date for receipt of CV, possess a level of education, training, and experience to be able to discharge duties effectively

Essential Skills:

  • Excellent office administration/management and IT skills
  • Book-keeping/accounting package experience including VAT reporting and compliance
  • Payroll package experience and PAYE reporting and compliance.
  • Strong communication skills
  • Strong People management skills

Desirable Skills:

  • Experience, knowledge, and skills related to working in an office environment, including the management of budgets and people
  • Good knowledge and awareness of Health & Safety Legislation and Regulations, the implications for the organisation and the employee, and their application in the workplace.
  • The ability to work on his/her own initiative, in an independent environment and without constant supervision.
  • The ability to work within a team environment.
  • Good interpersonal and communication skills and have the ability to engage with a wide range of people.
  • Good organisation skills.
  • Good IT and presentation skills.

Key Responsibilities of the Post

Duties include the following:

  • Implementing and maintaining Office Administration systems
  • Management of weekly Staff Payroll and related Taxes
  • Bi-monthly VAT returns.
  • Reconciliation of Bank accounts, managing Budgets, preparation of KPI reports
  • Liaising with Company’s Accountants and Auditor. Management of internal Accounting systems, Creditor and Debtor invoices and payments.
  • Managing communication with State Agencies including Revenue Commissioners, Grant providers etc
  • Organisation of staff recruitment, maintaining personnel records and supporting HR function.Liaising with suppliers and IT Support Company
  • Monitoring, updating, and improving the Company website and Social Media presence.
  • Organising and attending meetings when required
  • Preparing letters, presentations, minutes, and reports
  • Ensuring the office environment and procedures meet health and safety regulations and standards.

Other duties and responsibilities as requested by the Manager/Board from time to time.
