Office Administrator

Cunnane Stratton Reynolds is a leading national practice with offices in Dublin, Cork and Galway, offering full Landscape Architectural and Town Planning services with a broad and expanding portfolio of projects. We are currently looking to appoint an enthusiastic, creative and organised person to join our Office Administration team in our Cork office.

This is a varied role involving reception, office admin and support for Directors and Managers . We are looking for someone who has a confident and positive attitude, who has excellent time management skills, the ability to multitask and is a strong team player.

Reception and Office Admin

• Meeting and greeting clients – setting up meeting room

• Managing the switchboard and distributing calls

• Liaising with external IT support to fix any staff IT issues

• Tracking and renewing software subscriptions

• Managing printers/photocopiers – paper / ink / liaising with TOS engineers

• Ensuring that office spaces are tidy, plants are maintained, office stocked with tea, coffee etc

• Onboarding new staff & training in Project Management system

• Liaising with all staff regarding the folding printing of drawings and binding for submissions.

• Managing the office recycling of paper / waste /cardboard and arranging for their disposal and ensuring office recycling policy is maintained in Dublin.

• Organising incoming and outgoing Couriers / Post.

• Organising staff entertainment

• Ordering stationery and office equipment for all offices

• Managing and updating the content for all social media accounts.

Assisting Directors / Managers

• Assisting Directors & Project Managers, when required, for typing / binding / organising, re-searching and events.

• Compiling & posting contracts and insurance documents

Assisting Office Manager

• Providing admin support to Office Manager

• Recording & updating employee information

• Assisting in HR duties

Requirements

• Experience of 3 years or more in a similar role.

• Strong Word / PowerPoint / Outlook/Excel knowledge

• Good communication/interpersonal skills

• Excellent organisational abilities

• Experience in accounts would be an advantage
