Role and Key Responsibilities

Be the go-to person who keeps our city centre Dublin office organised and welcoming. From reception and suppliers to onboarding and all-hands logistics, you make the day run smoothly.

This is a part-time position, 21 hours per week, located in our Dublin 2 office.

Key responsibilities include:

• Front-of-house for our Dublin office. Manage reception, visitors, post, couriers, meeting rooms, and office supplies.

• Coordinate facilities and vendors. Cleaning, maintenance, H&S checks, and simple workspace moves.

• Support onboarding and offboarding. Desk setup coordination with IT, access cards, starter packs, and leaver returns.

• Own office calendars and events. Team offsites, all-hands logistics, visitor bookings, and occasional catering.

• Process invoices and expenses. Raise POs, track budgets for office spend, and reconcile monthly with Finance.

• Maintain records and policies. Keep seating plans and office procedures up to date. Ensure GDPR-friendly handling of information.

• Monitor compliance basics for Ireland. Display statutory notices, track DSE checks, and log incident reports.

• Coordinated Sports and Social activities and company events, including team socials, wellbeing initiatives, charity days, and seasonal team events.

QualificationsKey Skills and Competence

• 1+ years of experience in office administration

• Strong organisational and time management skills, able to juggle multiple tasks.

• Customer service mindset with a warm, friendly approach, bringing passion and a sense of fun to the office every day.

• Strong communication skills in English, both written and spoken.

• Proficiency in MS 365
