Office Services Coordinator

Key Responsibilities
- Meet and greet visitors to the office and first point of contact for all phone calls
- Issuing Access cards and management of same system
- Manage inbound and outbound post including stamping of post received, scanning of post for the various departments, arranging for registered post and couriers
- Managing the booking of all Meeting Rooms onsite, setting up meeting rooms and ensuring upkeep of office and meeting rooms
- Working on administrative projects as assigned by central services team that may include data entry, presentations, correspondence, reports & typing
- Coordinating tea/coffee, caterers, meetings, and events
- Facilities coordination & supplier management
- Ownership of Cbar area and upkeep of coffee machine and supplies, notifying vendors of maintenance repairs
- Assist with onsite organisation of onsite events
- Processing documents and providing admin support to a wider team
- Filing and organising records, invoices, and other important documentation
- Monitoring and ordering inventory for office, stationery, and kitchen supplies
- Assist with scheduling repairs for general office space and all office equipment, Liaising with Contractors, and cleaning staff
- Any other ad-hoc duties as assigned
Experience & Skills
- Previous Experience in a busy receptionist/ front office/ administration role essential
- Excellent Microsoft Office skills (Word, Excel, PowerPoint, Outlook)
- Excellent communication and interpersonal skills
- Ability to multitask effectively and accuracy and attention to detail
- Organisation and time management skills
- Knowledge of Salesforce would be an advantage
