Office Support Coordinator
The Office Support Coordinator plays a central role in ensuring the efficient day-to-day running of the office and providing administrative support across the Commercial function.
This role is responsible for coordinating office administration, managing reporting requirements, maintaining effective communication across departments, and supporting the smooth delivery of business activities.
The successful candidate will be highly organised, proactive, detail-oriented and able to manage multiple priorities while maintaining a high standard of accuracy and professionalism who enjoys working in a fast-paced FMCG environment.
Key Responsibilities
Office Administration & Management
- Act as the first point of contact for general office queries.
- Support company events, team meetings and internal activities.
- Coordinate and manage day-to-day administrative activities across the Commercial function.
- Ensure all commercial documentation, trackers and shared files are accurate and up to date.
- Support the planning and administration of sales cycles, customer activities and commercial initiatives.
- Coordinate meetings, agendas, actions and follow-up activities where required.
- Act as the central point of contact for administrative queries across the Commercial team and Category team
- Manage the day-to-day administration of the office.
- Ensure office systems, documentation and shared files are maintained accurately and efficiently.
- Coordinate office supplies, stationery, equipment and facilities requirements.
- Liaise with suppliers and service providers to ensure the office operates efficiently.
- Coordinate meeting rooms, visitor management and hospitality requirements
- Support onboarding activities for new employees, including workspace and equipment coordination.
Reporting & Data Management
- Produce daily, weekly and monthly business reports.
- Maintain reporting dashboards and trackers.
- Analyse data and highlight trends or issues requiring attention.
- Ensure reports are delivered accurately and on time.
- Work confidently with Microsoft Excel and business reporting systems.
- Support sales performance reporting, promotional tracking and customer reporting.
- Work confidently with Excel and reporting systems to extract, manipulate and present data.
Communication
- Build strong working relationships across departments to ensure seamless collaboration.
- Coordinate communication across departments to ensure information is shared effectively.
- Prepare and distribute meeting agendas, minutes and action logs.
- Follow up on outstanding actions and deadlines.
- Support senior management with administrative requirements and business coordination.
Essential Requirements
· Previous experience in an administration, coordination or commercial support role.
· Excellent organisational and time management skills.
· Strong written and verbal communication skills.
· Advanced Microsoft Excel skills.
· High level of accuracy and attention to detail.
· Ability to prioritise multiple tasks in a fast-paced environment.
· Confident producing reports and analysing data.
· Strong problem-solving ability.
· Self-motivated with a proactive approach.
· Team player with the ability to build relationships across multiple departments.
Desirable Requirements
· Experience within FMCG or retail.
· Knowledge of sales reporting and promotional administration.
