Location of Post Children’s Health Ireland (CHI) comprises the three children’s hospitals:

  • CHI at Crumlin, Dublin 12

  • CHI at Temple Street, Dublin 1

  • CHI at Tallaght, Dublin 24 and the Paediatric Outpatients and Urgent Care Centre, CHI at Connolly Hospital, Dublin 15.

CHI’s Programme Office, CHI Herberton, is in Rialto, Dublin 8, adjacent to the new children’s hospital located on the shared campus with St. James’s Hospital.

This post will be located at the Paediatric OPD and Urgent Care Centre, Connolly Hospital Campus, Dublin 15.

Reporting Arrangements This post will report to the Operations Team Lead via the Operations Officer, with an overall reporting line to the Paediatric Outpatient and Urgent Care Centre at Connolly Manager.

Key Working Relationships The post holder will work closely with:

  • Paediatric Outpatient and Urgent Care Centre CHI Connolly Operations Lead

  • Paediatric Outpatient and Urgent Care Centre CHI Connolly Clerical Officers

  • Wider administrative teams at CHI Connolly

  • CNM3 at CHI Connolly

  • Clinical and clinical support staff at CHI Connolly

  • Consultants in Emergency Medicine and Radiology

  • Emergency Medicine Nursing Management

Please note: This list is not exhaustive, and key working relationships will evolve as the project transitions from service development to steady state operations.

Purpose of the Role The post holder will support the day-to-day operations of services at the Urgent Care Centre, Paediatric Outpatient and Urgent Care Centre, CHI Connolly, which operates from 8am – 12am, 7 days a week, 365 days a year. They may rotate across departments as required to support cross-cover and service needs.

This is an exciting and varied role for an experienced administrator with strong communication and organisational skills.

Principal Duties and Responsibilities

Professional Duties and Responsibilities:

  • Live CHI values: child-centred, compassionate, progressive, respectful, excellent, and act with integrity.

  • Liaise with a wide range of stakeholders to support delivery of clinical care.

  • Provide quality reception service at the Urgent Care Centre.

  • Deliver excellent customer service to patients, parents, and service users.

  • Support in-patient admissions to CHI sites (Crumlin, Temple Street, Tallaght) prior to transfer to NCHI, St. James’s site.

  • Manage queries via phone, email, and in-person from patients, parents, clinicians, and staff.

  • Support with wayfinding and directions within the centre.

  • Assist the Operations Team Lead, Operations Officer, and Centre Manager as required.

  • Manage patient check-in and registration using CHI ICT systems (e.g., iPMS, Symphony, NIMIS/RIS).

  • Collect the Urgent Care Centre charge from patients.

  • Provide general administrative support to enable clinical service delivery.

  • Facilitate clinical support services (e.g., arranging interpreters, coordinating hospital transport).

  • Maintain patient confidentiality at all times.

  • Participate in required training.

  • Rotate across departments to support cross-cover and service needs.

Eligibility Criteria, Qualifications and Experience

Essential Criteria:

  • Successfully achieved a Leaving Certificate QQI Level 6 or equivalent qualification.

  • At least two years’ administrative experience in a busy healthcare setting (Urgent Care/Emergency Department).

  • Excellent interpersonal skills and ability to communicate effectively and sensitively with patients, public, staff, and management.

  • Strong IT skills and experience with ICT systems.

  • Proven experience managing and collaborating with multiple stakeholders.

  • Excellent planning, problem-solving, organisational, and administrative abilities.

  • Fluent written and spoken communication skills.

Desirable Criteria:

  • Experience using iPMS (Patient Administration System).

  • Experience using RIS (Radiology Information System).

  • Experience using Symphony.

  • Experience working in a fast-paced, rapidly changing environment.
