Here's what our team needs:

To act as the COO’s right hand, owning customer onboarding, talent acquisition, and process management. This role ensures that (1) new customers are onboarded seamlessly, (2) the company attracts and retains the right people, and (3) core processes run efficiently without bottlenecks.

Core Responsibilities

1. Operations - Customer Onboarding & Process

  • Coordinate with Sales, CS, and Finance to ensure contracts, invoicing, and compliance steps are completed.
  • Manage account setup across systems (HubSpot, dashboards, billing).
  • Track onboarding milestones and proactively remove blockers.
  • Document and optimize onboarding playbooks and SOPs.

2. Talent Acquisition & HR

  • Partner with COO and team leads to forecast hiring needs.
  • Manage end-to-end recruitment: drafting job specs, coordinating job ads, sourcing candidates, screening, and managing interview logistics.
  • Build and maintain a candidate pipeline (direct sourcing, LinkedIn, agencies where needed).
  • Own the new hire onboarding experience—ensuring smooth start for employees.
  • Maintain HR records (contracts, benefits, leave, compliance).
  • Support COO in running performance reviews and employee engagement initiatives.
  • Drive company culture—championing our values, encouraging collaboration, and being the ambassador of fun through team events, celebrations, and recognition initiatives.

3. Finance Touchpoints (Onboarding Focused)

  • Ensure new customers are properly set up with finance (billing profiles, POs, payment schedules).
  • Track first invoices and escalate any issues to Finance and COO.
  • Maintain a clean link between Sales → CS → Finance during onboarding.

4. COO Support / Operations Backbone

  • Prepare weekly updates on onboarding status, recruitment pipeline, and HR activity.
  • Drive operational projects as delegated (process automation, compliance, system upgrades).
  • Keep COO’s operational priorities on track—ensuring deadlines and follow-ups are managed.
  • Some travel may be required

Profile

Skills & Experience

  • 3–6 years experience in operations, HR/talent, or customer onboarding.
  • Proven track record of running recruitment cycles end-to-end.
  • Familiarity with CRM (HubSpot preferred), HRIS, ATS, and finance systems.
  • Strong organizational skills with ability to manage multiple streams (customers + hiring).

  • Strong communicator and relationship builder.
  • Comfortable balancing external (customer onboarding) and internal (recruitment/HR) priorities.

Success Metrics

  • New customers consistently onboarded within agreed timelines and with positive feedback.
  • Recruitment pipeline always active, with key roles filled within agreed timeframes.
  • COO significantly freed from day-to-day HR and process management.
  • Improved internal satisfaction with onboarding (both customer and employee).
