Operations Officer
Location: Ardhowen Theatre Enniskillen, the post holder may be required to work at other venues and during events.
Hours of work: Part time 29 hours per week including evening and weekend cover.
A reserve may be created and appointments made to lesser supervisory positions on a casual basis.
Salary: Scale 6; SCP 20-24; £31,586 – £34,314 per annum, pro rata
Main Purpose of Job:
The postholder will be a lead member of the Ardhowen Theatre management team, supervising and managing matters to ensure the smooth and safe operations at the Ardhowen Theatre.
There are four key areas of work:
Duty Officer
Front-of-house customer care
Marketing, administration & finance
Assisting with events and activities
Staff Management
Manage & supervise Customer Service Advisors/Assistants
Manage & supervise cleaning and caretaking staff
Manage & supervise Duty Officers at the Ardhowen Theatre
Ensure the effective management and usage of the Ardhowen Theatre’s facility management systems
Prepare the rota for all frontline staff (and volunteers) at the Ardhowen Theatre
Facilities Management
Event co-ordination including liaison with customers and clients of the venue
Risk assessments and risk management of facilities and front of house function
Provide support and cover to the Box Office team
Report accidents and incidents and ensure all necessary health and safety checks are in place.
Ensure full compliance with obligations, requirements and reporting as defined within Standard Operating Procedures (SOP’s) and Emergency Action Plans (EAPs).
Work with staff of the centre and Estates Department of the Council to ensure that all aspects of facility management are maintained properly and within budget
Ensure the provision of timely, accurate information for inclusion within the Council’s Annual Estimates Process.
Duty Officer
Operate on shift pattern to fulfil the role of senior officer on shift, including supervision of staff and being responsible for all aspects of the operations of the venue.
Responsible for the security and safe operation of the building whilst on shift
To provide first aid cover and log incidents/accidents/near misses ensuring these are fully investigated in line with the Council’s procedures.
Act as key holder to open and close the venue.
Attend emergency callouts outside of normal working hours, typically four /five times per year. You may not be required for every instance – this is provided for context.
Adhere to FODC Safeguarding Policies and Procedures
Work in a team to ensure the services of the Ardhowen Theatre are delivered to a high standard of customer service excellence
Lead on the development and delivery of a high-quality experience at the Ardhowen Theatre
Administration, Marketing & Finance
General administration functions including Reports, Record Management and General office duties
General marketing activities including social media, print & digital materials and press / media
Assist with collation of appropriate information to undertake marketing promotions
Support consultation with internal and external stakeholders to ensure continual improvement
Deal with complaints to ensure appropriate follow up and resolution
General:
To comply with all the Council’s policies and procedures including the Employee Code of Conduct and the Employee and Councillor Working Relationship Protocol, and as a Duty Manager, ensure that all employees comply with same.

The postholder will be expected to be flexible and adaptable to meet the changing needs and requirements of the organisation. The above list should not be seen as an exhaustive list of duties, and the postholder will be expected to undertake other relevant duties, as required.
Essential Criteria
Hold a minimum NVQ Level 4 qualification or equivalent
AND
Hold a minimum of 1 years supervisory/management experience to include
a) Monitoring and adherence to financial and administrative procedures
b) Staff and facilities management
c) Ability to work on own initiative as well as part of a team.
OR
In the absence of a relevant qualification applicants must hold at least 2 year’s experience at supervisory/management level to include a) to c)
Competence in the use relevant Information Technology
