The Role:

The Asset Operations function forms the cornerstone of service delivery to customers, protecting the environment and meeting regulatory standards as well as managing the majority of operational expenditure. The Asset Operations function has responsibility for operational and maintenance strategy, policies, planning and standard operating procedures for Water and Wastewater operations both nationally and regionally, ensuring that value for money and customer service is delivered. 

The Operations Support Team has responsibility for providing and managing effective business infrastructure and processes at a national level to support operational activities at site level. 

Reporting to the Operations Support Team Supervisor, the Operations Support Coordinator will form part of the Insights & Support Sub-Team. They will undertake a number of activities including; management of administrative support duties in-line with industry best-practices; responsibility for procurement activities; making decisions and solving problems using analytical skills; managing time-sensitive information including correspondence with internal and external stakeholders, meeting support, logistics and event management; Time admin support, Maintain and oversee ECM (Enterprise Content Management) upkeep in line with changing organisational requirements, and administration and analysis of key data.

Main Duties and Responsibilities:

  • Responsibility for COE (Centres Of Excellence) and other procurement activities using the Oracle software system. 
  • Collate and maintain accurate Local Authority and frontline headcount data in line with headcount management best practices. 
  • Coordinate and support meetings, events, and logistics management 
  • Produce correspondence and documents, and maintain presentations, records, spreadsheets and databases using a variety of software packages, such as Microsoft SharePoint, Outlook, PowerPoint, Excel, etc.
  • Ensure adherence to all financial and framework policies, procedures and compliance activities.
  • Provide guidance and training to junior Support team staff.
  • Organise and maintain electronic files for Asset Operations correspondence systems, in accordance with Uisce Éireann’s data policy
  • Manage and collate reports in order to meet statutory and business requirements; perform analysis on data in order to best inform the Operations Support Team Supervisor
  • Raise risks and issues, as appropriate to the Operations Support Team Supervisor
  • Take end-to-end ownership of ad-hoc projects as directed by the Operations Support Team Supervisor 
  • Use analytical skills to solve problems and make decisions
  • Use Uisce Éireann’s Enterprise Content Management system to maintain and update internal databases, intranet sites and update Emergency, Incident Management and similar packs held in the regions on a regular basis
  • Manage the annual Operations Meeting scheduling and track action items remotely as required.
  • Liaise with colleagues and external contacts to coordinate travel and accommodation arrangements 
  • Participate and contribute to all change and strategic initiatives for the team and wider organisations (National Ways of Working)
  • Perform other duties as assigned 
  • Ensure compliance with all HR policies (1:1s, Team Meetings, Probation, MyWork, MLJ, Expenses, etc.)
  • Promote and contribute to Employee Engagement, Well-Being and Diversity & Inclusion initiatives

General Duties and Responsibilities

  • Collaboration with key internal stakeholders across the UÉ business
  • Responsible for promoting and delivering health and safety commitments across UÉ and its supply chain, reinforcing positive behaviours and delivering health and safety objectives and requirements to the highest industry standards. 
  • Support the delivery of the Uisce Éireann Transformation Programme, driving results required within the Directorate and supporting organisation-wide objectives.
  • Other duties as required.

Knowledge, Skills and Experience:

  • Relevant third level qualification and or accreditation is desirable and or relevant experience
  • Minimum 2 years relevant experience in a similar role in the water, utilities or similar industries is desirable 
  • Proactive, with ability to work on own initiative and with others to ensure success in the performance of a team
  • Proven effective time management skills with the ability to prioritise and remain focused
  • We work better together - Proven ability to create and develop good working relationships to facilitate the accomplishment of work goals, coupled with the ability to gain commitment from others 
  • Excellent verbal and written communication skills with the ability to convey messages in a clear and concise manner
  • Strong Computer skills with a proficient working knowledge of MS Word, Excel, SharePoint, PowerPoint and Outlook
  • Ability to set up ongoing processes and procedures to collect and review information

  • Full, clean and valid Irish category B driving licence is minimum requirement. A clean driving licence is defined as meaning that the applicant has not been convicted of an offence under the Road Traffic Acts (other than an offence for which the penalty is the imposition of penalty points).
