Who we are looking for
As an Out of Office Coordinator you should have following skills and experience:
- Must demonstrate excellent oral and written communication skills and the ability to listen effectively.
- Must have the ability to organise and prioritise daily, quarterly, monthly and yearly work.
- Must demonstrate discretion, integrity and fair-mindedness consistent with company standards, practices, policies and procedures
- Must have the ability to establish good working relationships with the office colleagues, clients and Caregivers.
- Must have computer skills and be proficient in Word and Excel
- Must present a professional appearance and demeanour
- Must have the ability to perform duties in a professional office setting
What you`ll do
- The on-call coordinator role is responsible for ensuring all out of hours issues are effectively managed and communicated to the relevant team members
- Reflect the core values of Dovida
- Answer each incoming call in a friendly, professional and knowledgeable manner and collate the information to report back to the Local Office
- Enter and maintain accurate client and Caregiver records in the operating system
- Communicate client and Caregiver concerns or problems with Line Manager or other staff members as appropriate
- Ensure Dovida standards are met and upheld
- Out Of Office (OOO) Coordinator logs in manually on the Unique IQ system
- Taking messages, calls & following up failed log in alerts on the IQ system
- All queries are recorded, and a report is created and sent by email.
- Demonstrate open and effective communication colleagues and Caregivers.
Work Schedule (Friday to Monday)
You will provide essential support during weekends and serve as the primary contact during out-of-office hours.
Friday: 1-4pm In the office
5 pm to 10 pm Remote
Saturday & Sunday: 8 am to 10 pm Remote
Monday: Early shift until 9:00 pm to facilitate proper handover and continuity.
** If the weekend is followed by a Bank Holiday Monday you will keep the Out of Office phone until 9am Tuesday**
