Role: People & Culture Administrator - Systems & Operations

Location: Waterford / Hybrid

Reporting to: People & Culture Manager

Terms: Full-time Permanent (39 hours per week Mon-Fri)

Salary Range: €37,860 - €49,290 (Please note that offers are typically made at the beginning to mid-range of the advertised salary, based on skills and experience)

Job Purpose:

This position is responsible for providing both administrative and analytical support across the full employee lifecycle, including onboarding, contract management, employment changes, and offboarding.

A central aspect of the role involves managing and maintaining the HRIS system (Cezanne), ensuring the accuracy of all employee data, and generating reports in alignment with business requirements. The role will also focus on Cezanne reporting to deliver high-quality data analysis and optimise processes through more efficient data-driven practices. This position will have the opportunity to support ongoing, organisational digital transformation through the work of an established Digital Transformation Team.

Core Duties and Responsibilities:

HR Operations & Systems Administration

  • Act as the first point of contact for the HR Information System (HRIS), ensuring data accuracy and effective use of the system.
  • Work alongside our Payroll department to provide weekly and monthly payroll adjustments and to review payroll procedures, assessing their alignment with best practices and identifying opportunities for increased efficiency.
  • Maintain and update employee records in line with company policy and data protection requirements.
  • Support People and Culture with employee lifecycle activities when necessary, including job postings, interview coordination, reference checking, contract preparation, and induction administration.
  • Prepare and issue employment contracts, offer letters, and onboarding documentation.
  • Manage processes for leavers, probation tracking, and exit documentation.
  • Maintain and process Garda vetting records and be the lead on both internal and external audits in this area.

Digital Transformation & Data Analytics

  • Support digital systems and processes within the People & Culture function.
  • Identify efficiencies and implement them when approved.
  • Design and maintain Power BI dashboards and reports to provide clear insights on workforce trends, turnover, engagement, and other key metrics.
  • Support the automation and streamlining of HR processes to increase efficiency, accuracy, and compliance.
  • Work with colleagues across the organisation to identify opportunities for data integration and improved reporting.

Reporting & Analytics

  • Produce regular People & Culture reports covering areas such as headcount, turnover, training, and leave (from Cezanne, Power BI).
  • Present HR data in a clear and meaningful way to support management decisions.
  • Work closely with payroll to ensure all employee changes are processed accurately and on time to support all payrolls.

Employee Experience & General Support

  • Administer employee benefits, including pension and purchase schemes in line with Company policies.
  • Respond to People & Culture queries and manage shared inboxes in a professional and confidential manner.
  • Support team projects, digital initiatives, and process improvement work.
  • Carry out other duties as required by the People & Culture Manager.
Key Requirements

Education & Qualifications

  • Third-level qualification in Human Resources, Business Administration, Data Analytics, or a related discipline.
  • Additional training or certification in Digital Transformation, Data Analytics, or Power BI would be an advantage.

Experience & Skills

  • 3–5 years’ experience in a People & Culture or HR administrative role, ideally in a data-focused or digitally evolving environment.
  • Experience using Power BI (or similar tools) for HR analysis and reporting.
  • Strong working knowledge of HRIS systems (Cezanne experience an advantage).
  • Excellent IT skills, particularly in Microsoft Excel and data management.
  • Ability to interpret and communicate HR data clearly and effectively.
  • High level of accuracy, attention to detail, and confidentiality.
  • Strong organisational, communication, and multitasking skills.
  • Self-motivated with a focus on continuous improvement and collaboration.
  • Excellent customer focus.
