Personal Assistant to the Director of Nursing
Full-time (35 hours per week) | Permanent Contract |
Candidate Criteria:
Education
- Leaving Certificate or hold a comparable and relevant Third Level Qualification of at least level 6 on the National Qualifications Framework (Essential)
- Relevant Third Level Qualification at Level 8 (Desirable)
Experience
- At least 3 years’ previous work experience
- Have a proven track record of relevant experience in a similar role, which encompasses demonstrable equivalent skills
- Strong administrative experience in a hospital setting.
- In depth experience in the use of IT systems including, Excel, Power Point, Patient Management Systems and HR & Payroll Systems (ie TAMs).
We are seeking an enthusiastic and detail-oriented Personal Assistant to the Director of Nursing to join our team on a Permanent contract.
The Purpose of This Role:
The PA to the Director of Nursing will provide administration and clerical support to the Director of Nursing and to the nursing management team, as well as facilitating a welcoming environment for staff and undertake organisational duties associated with the day-to-day operation of the Nurse Management department.
Key Responsibilities:
- To provide administrative support: Typing, dictation, diary management, co-ordinating meetings, minute taking.
- Briefing and updating the Director of Nursing (DON) on all relevant issues pertaining to the role.
- To prepare and edit correspondence/communications as requested by the Director of Nursing.
- To manage the Director of Nursing’s diary requirements.
- Assist in the preparation and monitoring of departmental reports, projects, performance metrics, and KPIs.
- Handle queries promptly, professionally, and with a high level of confidentiality.
- Act as a point of contact between the DON and internal/external stakeholders.
- Support the organisation of meetings, training sessions, and hospital events.
- Liaise with senior management, nursing teams, and multidisciplinary departments to support DONs priorities.
- Assist with planning and delivery of departmental initiatives.
- Facilitate the onboarding and orientation of new employees.
- Support Nurse Management in HR associated activities where appropriate.
- Build positive working relationships across the organisation to facilitate communication and collaboration.
