Position overview: 

The Plant Administrator will hande a variety of administrative duties, ensuring smooth daily operations, and contributing to a positive customer experience through effective management of the reception and conference areas.

Key responsibilities include: 

  • Distribute incoming mail to relevant departments daily upon arrival and ensure all visitors sign in using the automated system and complete necessary inductions before entering the plant
  • Manage meeting room bookings for both staff and visitors, ensuring the rooms are prepared for meetings and events
  • Coordinate travel, hotel, and catering requirements for Plant Management, ensuring all authorisations are completed
  • Assist Plant Management and staff with the use of Concur and CWT systems for travel arrangements and maintain and update the reception communications board daily, including visitor names and important notices
  • Maintain the conference room, ensuring it is stocked with necessary supplies, including PPE and visitor refreshments and ensure the conference facilities are kept to an exceptional housekeeping standard
  • Maintain the Time and Attendance (T&A) system and support managers with system administration and maintain the absence recording system and ensure all Return to Work paperwork is completed and processed
  • Collect and process all new paperwork from Shift Managers' offices, ensuring timely updates in the T&A system
  • Organise Occupational Health appointments, including pre-employment checks and audiograms. Track appointments, reports, and invoices
  • Assist the HR Generalist/Administrator with the plant onboarding program for new hires, including compiling onboarding packs and arranging necessary training and reviews
  • Take a lead role in plant-wide communication, ensuring noticeboards and communication systems are up to date
  • Take a leading role in plant communications, keep all noticeboards, comms boards and communication systems up to date
  • KPI Reporting and Analysis – Complete and report as required

What are we looking for? 

  • Experience in the relevant position for at least 2 years
  • Confident user of computer programs: MS Office, SAP SuccessFactors
  • Accuracy and high attention to details with analytical skills
  • Well organised and structured
  • Ability to handle sensitive and confidential situations and information with discretion and professionalism
  • Ability to effectively communicate with people of diverse backgrounds and employment levels within and outside an organization
  • Demonstrate excellent interpersonal skills to effectively communicate, empathize, and reason with people in situations that are often sensitive and stressful
