Job Title: Program Specialist, Assessment Services

Location: Dundalk, Co Louth – Hybrid Working

Reports to: Program Manager, Assessment Services

Hours of Work: Monday – Friday, 09:00 – 17:30

Job Summary

The Program Specialist is an integral member of the team within Test Development Solutions. This position is responsible for working with multiple stakeholders for the Test Development and Test production of exams. The goal is to consult with Clients, Client Success Managers and Test Development Solutions in documenting plans and schedules to support the development and creation of assessments.

Ensuring a schedule reflecting the scope and timeline of the activities and services required is created accurately and clearly, so that all stakeholders can follow and adhere to the dates and tasks outlined, is of critical importance. This includes ensuring all work can be tracked, completed, and be billed according to the terms of client contracts. Alongside this schedule will require organisation, proactive communication, tracking of schedules as tasks progress and identifying efficient and effective ways to manage resources.

Main Duties & Responsibilities:

  • Work collaboratively with clients and client account teams to establish short and long-term goals and to develop a test development / publishing activity schedule for a portfolio of clients.
  • Manage the workflow of the schedules across the TDS teams, ensuring schedules and deadlines are met, identifying and prioritising competing needs.
  • Ensure that all tasks are completed according to established schedules, adhering to competing absolute deadlines in a cost-effective manner and ensure all work can be tracked, completed, and be billed according to the terms of client contracts.
  • Proactively troubleshoot issues / risks that potentially could impact exam development and follow-up on issues identified.
  • Facilitate in-person and web-based meetings for various client-based stakeholders, as needed.
  • Understand contract language to ensure work is complete in accordance with these contracts and act as a point of contact for clients and internal teams so that they remain informed and up to date with how schedules are progressing.
  • Generate and analyse reports that analyse and support resource planning, capacity planning, productivity, revenue, and costs.
  • Become proficient on Prometric’s internal proprietary programs; project management software; client contracts and follow established procedures and guidelines.
  • Represent Test Development Solutions in client meetings and in internal departmental and cross-functional meetings.
  • Other duties as assigned.

Essential Qualifications & Experience:

  • Bachelor’s Degree or equivalent in terms of work experience
  • Demonstrated ability to work with clients and build relationships across various types of clients.
  • Excellent attention to detail and accuracy; proven dependability and high regard for security.
  • Experience of using project management software and the MS Office 365 Suite.
  • Experience of working with multiple stakeholders and functions across a global team.
  • Experience of managing a portfolio of projects or clients to ensure competing priorities are balanced.

Desirable Criteria:

  • Project management / Agile / Lean qualification.
  • Ability to work in a fast paced and engaging team, managing client requirements, whilst also supporting continuous improvement, driving initiatives, and adapting to change.
  • Ability to meet quality, service, and productivity metrics.
  • Ability to prioritise and handle multiple projects simultaneously, and work under pressure and meet exacting deadlines.
