Project Administrator

VertivLetterkenny, County Donegal

We are seeking to recruit an Administrator to join our growing business. The Administrator will work as part of the Busbar Engineering Team, to organize and manage project documents and administration.

The position will be based in our Letterkenny facility, 5 days per week.

Responsibilities and Measurement Criteria with Time investment Needed on Each: - 

  • Create and manage project folders.
  • Assist with maintaining accurate and up-to-date drawings folders and registers.
  • Assist with the day-to-day coordination and management of all operational activities.
  • Assist in the preparation of technical submittal packages.
  • Assist in the preparation of O&M manuals.
  • Assist in the preparation of project Program and progress reports.
  • Ensure compliance with company standards and procedures. and highlight any shortcomings or poorly prepared documentation to senior management.
  • Assist management in the preparation of operational performance and strategic plans and Program.
  • Assist internal teams and ensure they have access to contract and operational information, drawings registers, project folders etc.
  • Identify any problems or issues in admin/operations processes and systems and assist in resolving them in quick and effective manner.
  • Maintain clear and accurate documents and records of procedures for future reference purposes.
  • Assist internal teams to organize and archive contract documents accurately.
  • Assist with any internal team drawings/document requests.
  • Endeavour to ensure that all Health & Safety standards are adhered to.
  • Proactively participate in the delivery of management reporting systems including Cost control, Progress reporting, Health & Safety, Quality, Environmental issues, ensuring compliance to company standards.

Qualifications: - 

  • 2 years experience in a similar position.
  • Excellent word processing and IT skills, including knowledge of a range of software packages MS Excel, Word & Outlook, and other software tools.
  • Previous experience of project administration methodologies and best practices - desirable.
  • Be able to prioritize multiple tasks.
  • Have good written and verbal communication abilities.
  • Be able to work independently.
  • Good organizational and time management skills
  • Team player and being able to work with more than one team.
  • Good Attention to detail
