We are currently recruiting a Receptionist and Office Administrator to join our Administration Team. This is a great opportunity for someone to work within the expeditious Geospatial industry. The successful applicant will be reporting to the Group Office Co-Ordinator and will be based in our Kilcullen office on a full-time basis. As the main function of this role is a receptionist, there is no option for remote working with this position.

What will I be doing in my new role?

  • Welcome all visitors to our office in a friendly manner and ensure they are directed appropriately
  • Manage the company mailboxes with timely responses
  • Screen telephone calls, enquiries, requests, and handling them when appropriate in a confidential manner
  • Receive, sort, and distribute the daily mail/deliveries, arrange couriers etc
  • Raise queries where necessary and monitor responses. Raise any unresolved issues with the Office Co-Ordinator
  • Manage correspondence within tight timeframes
  • Maintain our office security by ensuring safety procedures are followed at reception
  • Ensure both the reception area and company meeting rooms are well maintained, presentable and tidy always
  • Monitor the cleanliness of the office and report any issues
  • Assist with the preparation, collation, and delivery of tender documents
  • Creating POs in line with company procedures
  • Managing company credit card and reconciling same in line with company procedures
  • Accurately account for Petty Cash with the Finance team
  • Conference room and hot desk management and ensuring hot desks are left in good condition when vacated
  • Organisation of catering when needed
  • Making extensive travel arrangements
  • Manage the stationery, office, and kitchen supplies within the office
  • Support the Group Office Co-Ordinator in management of office welfare facilities and supplies
  • Perform other clerical duties such as photocopying, binding, printing, and filing
  • Understanding the business needs and prioritising accordingly
  • Identify opportunities for improvements within the company and raise them within the administration team
  • Communicate effectively and efficiently, while maintaining good working relationships with all colleagues
  • Deal with queries from company employees, clients, and management
  • Assist in the organization of staff social events throughout the year if needed
  • Any other tasks reasonably expected of the administration team

What qualifications/ previous experience do I need?

  • 2-3 years’ reception experience is desirable
  • MS Office Suite skills, Outlook, Work, Excel, PowerPoint, Teams
  • Full EU Driving License and use of own vehicle
  • Sage Experience is desirable but not essential
