ROLE OVERVIEW

Reporting to the Office Manager, the postholder plays a key role in supporting the effective day-to-day operation of the Dublin office and contributing to a professional, efficient and welcoming workplace environment.

The role focuses on front-of-house delivery, office coordination and the provision of high-quality administrative support services. Acting as a central point of contact for staff and external stakeholders, the postholder will facilitate effective communication, ensure a consistently high standard of customer service, and support the smooth coordination of office activities.

Working as part of a structured and collaborative function, the role operates within clearly defined processes and service priorities, ensuring consistency, efficiency and a coordinated approach to administrative support contributing to the efficient functioning of Screen Ireland, while creating an efficient, professional, and welcoming office environment

FUNCTION OVERVIEW

The Office Management function at Screen Ireland is a core operational pillar that ensures the effective delivery of workplace and corporate support services across the organisation. It is responsible for the smooth running of physical office environments, including facilities management, space planning, supplier and procurement coordination, and health and safety compliance. 

The function also contributes significantly to internal communications, staff wellbeing initiatives, and business continuity planning. By integrating sustainability practices into day-to-day operations, the Office Management function supports Screen Ireland’s broader commitment to environmental responsibility and organisational excellence. It plays a vital role in shaping a professional, inclusive, and productive working environment for staff, stakeholders, and visitors. 

JOB GRADE / REPORTING LINE

It is anticipated that in order to have the required skills and competencies, the Clerical Officer post will be at the First Point level. 

KEY RESPONSIBILITIES

Customer Service & Front of House

  • Act as the first point of contact for all visitors and stakeholders, delivering a professional, welcoming and responsive reception service.
  • Monitor and manage shared mailboxes, ensuring correspondence is prioritised, actioned, and handled efficiently or redirected / escalated where appropriate in a timely and organised manner.
  • Provide clear information and guidance in line with organisational services and processes.
  • Handle queries and complaints with professionalism, ensuring a consistently high standard of customer service.

Office Administration & Coordination

  • Provide administrative support to the Dublin office, including meeting room coordination and day-to-day office operations.
  • Manage office supplies and stationery procurement, ensuring effective stock control and value for money.
  • Maintain organised filing and records management systems in line with organisational standards.

Operational & Organisational Support

  • Assist in the organisation of meetings, events, staff initiatives and onboarding activities. 
  • Provide general administrative and logistical support, including bookings, coordination tasks and data entry.
  • Support organisational functions, including Marketing and Communications, as required during peak periods.

Facilities, Health & Safety

  • Support the coordination and organisation of office facilities, including archive movements.
  • Assist in the implementation of Health and Safety requirements and staff wellbeing initiatives.
  • Provide support for office security processes, including access and key management.

Collaboration & Organisational Awareness

  • Work collaboratively across Screen Ireland to support effective service delivery.
  • Develop and maintain an understanding of organisational activities, programmes and services to support accurate stakeholder engagement.

Reporting & General Administration

  • Prepare routine reports and provide administrative support as required.
  • Undertake a range of clerical duties appropriate to the role, demonstrating flexibility in response to business needs.

ROLE DETAILS AND TERMS
  • This position is at the Clerical Officer level and is remunerated at €31,604.90 per annum. This role will be filled in line with Public Pay Policy at the first point of this Salary Scale unless the successful candidate is appointed from an existing public sector role. Application of 1 February 2026 pay adjustments
  • This is a permanent full-time position.
  • The successful candidate will be required to sign the Screen Ireland Code of Conduct.
  • The role will have a 6-month probation period.
  • Will report directly to the Office Manager.
  • The post will be based in Dublin and is a fully onsite role.
  • Annual leave (excluding bank holidays) of 22 days.
  • Start Date as soon as possible.
