Job Description & Summary

We are looking to recruit a Receptionist/Secretary for our office in Kilkenny.

This role will be a job share with every second week off.

As a Receptionist/Secretary, you will be involved in supporting Partners, Directors, Senior Managers and Managers across the office. Prioritising, multi-tasking and maintaining a high level of confidentiality on all matters is essential. The role involves various secretarial and administration functions for the team, as well as acting as Receptionist and other office duties. Given the nature of the duties, the role will be office based.

Responsibilities: 

In this role your responsibilities include but are not limited to: 

Reception / Hospitality / Office Management

  • Ensure that the reception area and meeting rooms are maintained professionally at all times and that the rooms are always ready for planned meetings or other events.

  • Manage the office swipe card system

  • Manage the bookings of desks and meeting rooms through the room booking system. 

  • Join our Admin team and assist with the shared workload 

  • Assist with IT requirements on an ad hoc basis 

  • General management of the building and building related issues, liaising with PwC Dublin Infrastructure team, IT team and external suppliers, contractors etc

  • Assist with office equipment supplies

  • Coordinate with caterers and suppliers for food, drink and equipment as required for events

  • Organise refreshments for meetings, as required.

  • Liaise with office cleaners as required.

Administration

  • Manage all forms of incoming mail and outgoing mail, follow up promptly and appropriately as required.

  • Ensure the firm’s standards are maintained on all correspondence that uses the PwC branding formats.

  • Assist client teams in the preparation of proposal, presentation and report documentation (including financial statements) using Word, PowerPoint, Excel and the Google suite plus audio typing as required.

  • Operate PwC specific packages, Salesforce, Workday, Cabs, iPower and others. Training will be provided.

General

  • Conduct self in a professional manner and take responsibility for work and commitments.

  • Flex approach to meet the changing needs of teams and clients.

  • Identify and make suggestions for improvements when problems and/or opportunities arise.

  • Learn about how business needs are changing and consider the impact on services provided.

  • Communicate with empathy and adapt communication style to meet the needs of the situation and audience. Dealing with a wide range of people on a daily basis. 

  • Anticipate the needs of others and take appropriate action.

  • Uphold the firm's code of ethics and business conduct.


Experiences and skills:

  • Minimum 3 year’s relevant experience in a similar role

  • Experience working in and managing a busy office environment

  • Excellent copy and audio typing

  • Excellent communication skills, e.g. greeting clients / dealing with queries, main point of contact for the entire office (dealing with all staff queries)

  • Ability to prioritise, to manage own work flow, use own initiative

  • Resilience - ability to work under pressure while maintaining quality and standard of work to meet strict time deadlines

  • Team player - ability to engage with the team and to provide support/flexibility

  • Understanding of the need for discretion and confidentiality

  • Other ad hoc administrative duties (e.g. managing petty cash)
