The Reservations Agent (“RA”) position at Hogs Head Golf Club (“HHGC”) is a wonderful opportunity to serve at one of the top private, resort golf clubs in the world. HHGC is seeking an experienced, dynamic and innovative “RA”.
The role functions as an “RA” will assist in the administration of scheduling duties for the Concierge and Transport Teams. Additionally, this person will assist with various tasks associated with the Reservation process for all Members and Guests.
ESSENTIAL DUTIES AND RESPONSIBILITIES: include the following.

• The Reservations Agent is the main point of contact for all of the 750 members at HHGC. We are responsible for managing all their enquiries, and reservations and planning their full itineraries.
• Assist with transport and logistics as requested.
• Responsible for liaising with Hogs Head Golf Club members to arrange their golf reservations and accommodation reservations, coordinating the logistics of helicopter/ground transportation and communicating the member's preferred billing details.
• Hogs Head Switchboard/customer service answering overflow calls for the Clubhouse reception if required.
• Coordinate personalised itineraries ensuring each groups preferred choices are accommodated.
• Schedule tee times, transfers, and accommodation reservations in external golf courses as well as luxury accommodation providers.
• Schedule Hog helicopter and Hog bus transfers to and from Kerry, Shannon, Cork and Dublin airports, accommodation, and golf courses throughout Ireland.
• Manage the logistics of the Hogs Head Transport Schedule for helicopter and bus transfers as required/requested.
• Provide a meet and greet to Hogs Head members on arrival to the clubhouse and throughout Member Guest Tournament events.
• Pre-Arrival email to be sent to all Hogs 2/3 weeks ahead of arrival date to ensure all details are finalised
• Upsell Gail’s Spa by forwarding each member a copy of the brochure and email link.
• Arrange Spouses Programmes and reserved local tours of the Kerry region, boat trips and spa appointments.
• Schedule Public/ Tour Op/ Unaccompanied Guest tee times and accommodation reservation.
• Final Itineraries – Lodge & Clubhouse Operations teams.
• Communication is key - it is imperative that each itinerary and any changes to transport are correctly communicated to the entire HHGC Team.
• The Hogs itineraries folder must be kept updated with the final itineraries to ensure the operations teams in the Clubhouse and the Lodge have all the relevant information required to ensure their departments can carry out their roles.
• Processing Payments & Deposits.
• Ensure each member receives a copy of the Hogs Head Booking Policies prior to processing deposits to finalise accommodation bookings.
• Processing deposit payments for Hogs Head accommodation and finalising payments with external golf clubs and accommodation reservations.
• Public Play / Tour Operator - Process payments and send confirmations via the Reservations email to ensure full payment has been received for all public accommodation and golf bookings.
QUALIFICATIONS:
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. EDUCATION and/or EXPERIENCE:
• At least two years’ experience working in a reservations/administration role.
• Use of property management software.
CRITICAL SKILLS:
• Excellent communication skills, verbal and written.
• Organizational and critical thinking skills.
• Have a positive attitude and excellent interpersonal skills.
• Able to work effectively with and present information to other department heads, staff and vendors.
PHYSICAL DEMANDS:
• Must frequently lift and/or move up to 50 pounds.
• Specific vision abilities required by this job include close vision, distance vision, colour vision, peripheral vision, and depth perception.
• Occasionally required to walk or move to various locations within the property; climb or balance; stoop, kneel, crouch, or crawl; and taste or smell.
• A noise level in the work environment is usually quiet.
• Schedule must be flexible to include weekends and holidays.
COMMUNICATION:
• To liaise efficiently with the HOD’s to enhance our members and guest’s experiences at all times.
• Maintaining effective communication to ensure plans, challenges and successes are understood, and individual performance is aligned to Company requirements.
• Daily and weekly planning meetings with Logistics Team.
• Respond to any complaints and find the appropriate solution.

• Continuously develop job knowledge by attending all scheduled company training.

• Ensure team members are conversant with and aware of Company standards and that those standards are fully implemented.

COMPENSATION AND BENEFITS:
This is a Full-time position.
Work-Life balance is important at Hogs Head Golf Club. The club has a busy seasonal schedule (April through October) with some flexibility and time for paid leave in the off-season.
