Your Skill Set

Applicants must be able to demonstrate how they meet the following criteria:

A minimum of 2 years’ experience in an administration role or 1 year administration experience within the motor trade.

Computer literate with experience of Microsoft Office (knowledge of Kerridge would be advantageous; however, full training will be provided).

Excellent organisation and communication skills.

Well-presented application form.

Strong attention to detail skills.

Previous experience in the motor trade is desirable but not essential.

Key Responsibilities

The following responsibilities are core to the effective performance of all Mercedes-Benz Sales Administrators working within the Mercedes-Benz Brand. Accuracy of work is a priority in all responsibilities. We may require additional specific activities and, where so, these will be identified separately.

Vehicle Registration

Complete new vehicle registrations via the online RAV/VRS process for both Mercedes-Benz sites in Belfast and Portadown.

Maintain and control paperwork for above to adhere to strict guidelines.

V55 manual registrations for UK reg. nos. & conversion vehicles.

Completion of documentation for DVLA following audit criteria.

Completion of accurate paperwork associated with cherished transfers.

Stock Ordering & Vehicle Logistics

Reviewing vehicle and back orders on the Manufacturer’s systems for Retail customers.

Vehicle Logistics - Tracking movement of all vehicles on a regular basis and updating internal systems. Checking in of vehicles on arrival and communicating with internal staff.

Informing workshop of vehicle arrival by pushing preparation line and creating job card nos.

Vehicle Administration

Ensure deal file documentation adheres to strict company guidelines and assisting with uploading of relevant sales admin. documents.

DVLA related tasks including retention, disposals, change of address, duplicate V5’s, fines.

Running daily VIS Customer Delivery report with associated created WIP nos. for internal use.

Taxing of Used cars when staff on holiday or sick leave across Market Area (B’fast & P’down).

Assisting with New Car pre invoicing requirements when cover needed.

Working with management team to complete New Car auditing function using digifile.

Department Support

Provide excellent support and administrative service to the Sales Team and across departments as required.

Maintaining an accurate registration list and assisting sales manager with MBUK forecast.

Deal efficiently with customer requests and queries to ensure total customer satisfaction.

Health & Safety

Take an active part in upholding the Company’s Health and Safety Policy as set out in the Conditions of Employment and Health & Safety Handbook.
