Scheme Co-ordinator
JOB SUMMARY
The Scheme Coordinator will be expected to:
Provide a support service to tenants of Ardnaclowney House sheltered housing scheme, ensuring that support needs are responded to effectively in line with support plans.
Work collaboratively as part of a team to ensure that all tenants get the best customer experience.
Ensure that the Housing Officer is notified of any management problems, crises or other activities on the scheme which may need attention.
Liaise with the Maintenance Officer regarding any maintenance or repair issues on the development.
Enhance social interaction for the tenants and encourage positive relationships.
Key duties may include:
Support
Be accountable for initial assessment and support plans in accordance with Supporting People requirements and internal procedures.
Keep accurate and up to date records making use of ICT.
Work with other agencies, including social services, GPs, relatives to deliver services and promote the welfare of residents.
Ensure any emergencies are responded to during working hours and managed appropriately.
Record all illness, hospitalisations or any other difficulty experienced by residents and advising the designated Housing Officer accordingly.
Notify the Housing Officer immediately of any death at the scheme.
Liaise with Radius Connect24 and supplying relevant information to staff.
Encourage residents to maintain good relations and to avoid disputes with neighbours and reporting any issues of anti-social behaviour Housing Officer.
Encourage and promote resident involvement and engagement with Woven.
Facilitate booking(s) of the communal facility as per Woven’s procedures, provide evening events where required (in agreement with your line manager), arrange and promote social activities.
Demonstrate the Fire and Evacuation procedure to anyone booking the Communal Facility.
Comply with Health and Safety requirements and conducting all activities in a manner which is safe to yourself and others.
Scheme Management
Be familiar with the operational instructions of the basic fittings in dwellings and common areas, e.g. fires, door-phones, intercom system and help or advise tenants who are having trouble with such fittings.
Contribute to an effective response maintenance service by liaising with Asset Management employees and our contractors, inspect completed work as requested by the Asset/Homes and Communities Team and report any unsatisfactory work.
Facilitate viewings of vacant properties.
Keep a daily record of any incidents / key events and keep all paperwork / documents in order.
Ensure all record keeping is maintained accurately, updated when necessary and is available for review by the Senior / Housing Officer at quarterly meetings.
Be responsible for receiving and recording monies in accordance with Woven’s Cash Handling Policy.
Carry out regular inspections and Health and Safety checks.
Ensure adherence to the requirements of the General Data Protection Regulations (GDPR) and equality legislation.
Ensure confidential information is only disclosed in accordance with procedure.
Test fire alarm systems on a weekly basis.
Up-date fire alarms systems record weekly following testing.
Organise and carry out at least two fire alarm evacuations per year in line with Woven’s procedure.
Supervise the cleaning of communal areas ensuring high standards and a safe working environment at all times.
Supervise security and proper use of the building.
Develop knowledge of services for vulnerable people.
Job work environment
Most of the work is considered lone working, is scheme based and involves using computers, there may also be occasional travel involved for which mileage can be claimed at casual user rates.
Out of hours calls are addressed by Radius Connect24, however there may be circumstances when there is the need to attend an emergency call. Time off in lieu for emergency call outs outside normal working hours may be granted upon agreement with the line manager.
The post holder will be required to deal with all customer situations and complaints.
The post holder will be required to attend training courses and staff conferences; these may be organised outside the normal place and hours of work.
Occasional attendance at lunch & evening meetings may also be required.

PERSON SPECIFICATION
REQUIRED CRITERIA FOR POST
Twelve months, or more relevant experience working in a community or caring environment, providing services to meet a range of support needs.
Experience of using Microsoft Office applications to include Outlook, Word and Excel. (demonstrated by examples)
SKILLS & ABILITIES (may be tested at interview)
Be able to work on your own initiative with limited supervision and to deal appropriately with challenging situations.
Be able to communicate effectively both verbally and in writing especially when discussing sensitive information.
