Senior Facilities Manager
Role Introduction:
Established in 1992, Applegreen is a leading convenience roadside retailer in the Republic of Ireland, the UK and the US in both large-scale Motorway Service Areas and Travel Plazas, as well as smaller petrol stations. The business has grown to over €3BN in annual revenue, operating 600 Motorway Service Plazas and forecourt sites internationally and employing over 16,000 people.
Applegreen is in a rapid growth phase and to support this ambitious growth, we are seeking to onboard a Senior Facilities Manager, who will take ownership and lead on all issues concerning maintenance including managing the preventive planned maintenance programme, reactive requirements and liaise with contractors and local authorities. This role will form part of the Facilities team and report to the Head of Central Operations. It is an exciting opportunity for the right candidate to excel. Key Responsibilities:
As Applegreen expands, the responsibilities will evolve and change over time. The core responsibilities will centre around the following areas:
- Lead all Facilities Management operations across Applegreen sites in ROI.
- Manage and support a team of Facilities Coordinators, including oversight of the Facilities service Desk to ensure efficient and professional handling of all facilities related queries and issues.
- Take full ownership of the Maintenance Management System (MMS), ensuring it is used effectively to schedule, track and report on all maintenance activity.
- Develop and manage the Preventative Planned Maintenance (PPM) program ensuring accurate scheduling, tracking, and reporting of all maintenance activity.
- Ensure that purchase orders are raised and tracked for all planned maintenance activity.
- Maintain accurate and up-to-date records of all facilities activities and compliance documentation.
- Respond effectively to reactive maintenance needs, ensuring minimal disruption to operations.
- Oversee relationships with external contractors, vendors and service providers, including monitoring of SLAs and performance.
- Ensure full compliance with relevant legislation and internal policies, especially in the areas of health & safety, quality and environmental standards.
- Liaise with local authorities and relevant regulatory bodies as required.
- Always maintain full health and safety compliance, ensuring adherence to statutory regulations and internal standards.
- Keep up to date with changes in relevant laws, regulations and best practices, and ensure internal procedures reflect these changes.
- Tendering and procuring contracts is a key aspect of the role.
- Produce clear and concise monthly management reports, including KPI’s, maintenance summaries, budget updates, and compliance data.
- Control departmental expenditure, track costs, and prepare and manage annual facilities budgets.
- Support Facilities related projects such as site openings, refurbishment, and fit outs.
- Work closely with the wider Operations and Development teams to align facilities strategy with wider business objectives.
The Candidate should have the following:
Qualifications, experience & skills
- Degree or equivalent qualification in Facilities Management, Building Services, Engineering, or a related field (preferred).
- Relevant technical or trade qualifications are an advantage.
- Minimum 5 years’ experience in a senior facilities management or estates management role.
- Proven experience managing multi-site facilities operations in a fast-paced or regulated environment.
- Strong track record in managing planned preventative maintenance (PPM) and reactive maintenance.
- Experience with computerised maintenance management systems (CMMS) or maintenance scheduling software.
- Demonstrated experience leading teams, including facilities coordinators.
- Hands on experience managing contractors, including supervision of works, contract performance, and quality assurance.
- Familiarity producing monthly management reports and communicating effectively with senior stakeholders.
- Knowledge of compliance requirements, around health & safety, environmental, and building regulations.
- Significant experience in tendering and procuring contracts
- Proficiency in Microsoft Office, including Word, Excel and PowerPoint
- SAP experience required
- Experience in a high-volume retail environment preferred
