Main purpose of role

The Service Administrator will beresponsible for the day to day administration duties of the Service Departmentensuring customers expectations and requirements are dealt with in a timelymanner. Working in a team the Service Administrator will be responsible forproviding administration support for the Service and Rental department.

Main Duties:

1. Compile accurate service reports and issue to customers on a daily basis.

2. Plan, produce and communicate service schedules for Service Engineers.

3. Ensure all customers enquiries, requests and complaints are dealt with in a timely manner.

4. Process spare parts quotations for customer orders. Add product returns and credit notes onto our system.

5. Liaise with Service Manager on a daily basis, communicate well and attend team meetings.

6. Work with external and internal customers to maximise the service delivery opportunities and the customers experience.

7. Record customer feedback/issues on management system and work with colleagues across departments to ensure maximum customer satisfaction.

8. Provide feedback on recommendations, ideas and improvements that may support ongoing improvements to Service and products.

9. Perform additional ad hoc tasks as required by the Company. The duties listed are not exhaustive.

Skills Required:

The following skills are essential requirement to the role.

  • Ideally the suitable candidate will have previous admin experience in a similar role.
  • The ability to communicate with clients in a professional friendly manner, by phone, email and face to face.
  • The ability to work in a consistent and logical way to ensure priorities are achieved.
  • The ability to ensure the work is done in the most efficient way.
  • Must have reasonably strong computer skills along with strong written and verbal communication skills.

Experience:

  • Minimum 2 years' experience in a similar role.
  • Proficiency in Microsoft Office applications.
  • Experience of Sage/CRM systems would be an advantage.
  • Good telephone and communication skills.
  • Fluency in both oral and written English language is essential.

Qualifications:

Leaving Certificate or equivalent qualification.
