Short Breaks Administrator
Location: Newbridge Co. Kildare
Clerical Officer Grade IV Salary Scale: Point 1 €35,609 to max Point 8 €48,414 DOE
The successful candidate will be responsible for completing administrational duties within the Kare’s Short Breaks Team. This role demands a high level of professionalism, adaptability and initiative, with responsibilities spanning record management, communication with families, financial processing and co-ordination across Kare’s Short Breaks and Home Share services.
The successful candidate must have access to their own car and be willing to travel between respite locations. Flexibility in working hours is essential, as the role may include occasional evening and weekend work.
Responsibilities include:
- Providing comprehensive administrative support to the Short Breaks Team.
- Assisting with the development and implementing effective and efficient administrative systems that will support the work within this service
- Managing referrals, reports and electronic documentation for individuals accessing respite services.
- Play an active role in the administration and record keeping of the respite process including accessing, attending and discharging from respite services
- Recording and returning short break data to relevant stakeholders
- Support the short break team with administration and communication with the individuals and their families
- Attend meetings to record minutes and manage the preparation of the agenda and manage related correspondence
- Communicate effectively with individuals and families, ensuring timely updates and support
Requirements:
- A recognised and relevant secretarial/administration qualification or relevant experience working in a similar role
- A minimum of 2 years working in an administrative role
- Knowledge and experience of IT/Database systems
- Advanced Microsoft Office Skills, i.e., Word, Excel, Outlook, Microsoft Teams and PowerPoint
- Excellent written and verbal communication skills with strong attention to detail
- Excellent administration skills e.g., e-mail correspondence
- Good understanding of GDPR and emphasis on confidentiality
- The ability to work as a member of a team as well as independently
- Good organisational skills with the ability to manage multiple tasks/projects and set priorities
- An understanding of the workings of the community/voluntary/public sector is an advantage
- Be eligible to work in Ireland without sponsorship
- Full Clean Licence and access to own vehicle is essential
