This candidate preferably needs
Document Management
- Maintain and organize all project documents (drawings, contracts, reports, permits)
- Ensure documents are properly numbered, formatted, and stored
- Manage document version control (revisions, updates, superseded files)
- Ensure only the latest approved documents are in circulation
Distribution & Control
- Distribute documents to project teams, contractors, and stakeholders
- Track document issuance and receipt
- Control access to sensitive or confidential information
- Maintain document registers and logs
Quality & Compliance
- Ensure documents comply with company standards and project requirements
- Support adherence to quality management systems (e.g. ISO standards)
- Assist with audits by providing accurate document records
Coordination
- Liaise with engineers, architects, subcontractors, and project managers
- Coordinate submission and approval of technical documents
- Follow up on pending approvals and document reviews
Records & Archiving
- Maintain both electronic and hard copy filing systems
- Archive completed project documents for future reference
- Ensure proper handover documentation at project completion
Systems & Tools
- Use document management systems (e.g. Procore)
- Ensure data is regularly updated and backed up
- Train team members on document control procedures if needed
Reporting
- Generate reports on document status (e.g. overdue submissions, approvals)
- Track key document control metrics
