This candidate preferably needs

Document Management

  • Maintain and organize all project documents (drawings, contracts, reports, permits)
  • Ensure documents are properly numbered, formatted, and stored
  • Manage document version control (revisions, updates, superseded files)
  • Ensure only the latest approved documents are in circulation

Distribution & Control

  • Distribute documents to project teams, contractors, and stakeholders
  • Track document issuance and receipt
  • Control access to sensitive or confidential information
  • Maintain document registers and logs

Quality & Compliance

  • Ensure documents comply with company standards and project requirements
  • Support adherence to quality management systems (e.g. ISO standards)
  • Assist with audits by providing accurate document records

Coordination

  • Liaise with engineers, architects, subcontractors, and project managers
  • Coordinate submission and approval of technical documents
  • Follow up on pending approvals and document reviews

Records & Archiving

  • Maintain both electronic and hard copy filing systems
  • Archive completed project documents for future reference
  • Ensure proper handover documentation at project completion

Systems & Tools

  • Use document management systems (e.g. Procore)
  • Ensure data is regularly updated and backed up
  • Train team members on document control procedures if needed

Reporting

  • Generate reports on document status (e.g. overdue submissions, approvals)
  • Track key document control metrics
