Key Responsibilities of the Role:

  • Ensure all timesheets for the assigned site are accurately & efficiently updated and are issued to your Time-Admin on time for input into SAP.
  • Review and ensure all timesheets for direct employees and staff are accurate and balance with the available information.
  • Collect Sub-contractor hours and upload details of time and manpower on the Filekey for monthly upload on SAP
  • Provide assistance including typing, telephone queries, filing, photocopying
  • Review and report on the File Key structure ensuring the general instructions are followed by all.
  • Developing and maintaining filing systems
  • Collate all personnel documentation and file on the Filekey
  • Induction/Onboarding for multiple sites
  • SKILLKO Maintenance - Manual Handling & Safe pass/CSCS cards
  • Collect & collate information for Management reports
  • Support Site Project Manager, Project Director and Business Unit Director as and when required.
  • Maintain the stationary levels in the office and ensuring a stock is maintained.
  • Dealing with general site team queries
  • Maintain up to date Org Chart
  • Document Control when required
  • Maintain and track site personnel movements for weekly report
  • Ensuring the timely distribution of clock reports to project personnel
  • Set up of terminals in European Sites
  • General Administration and Office Duties including typing and printing.
  • All other duties associated with this role

Essential Criteria for the Role:

  • Proven experience as an administrative assistant supporting senior management in a busy office environment for 5+ years
  • Excellent working knowledge of the Microsoft Office suite – Outlook, Excel, Word, Powerpoint, OneNote, Sharepoint
  • Excellent verbal, written and interpersonal communication skills
  • The ability to work with confidential information in a professional & trustworthy manner
  • Excellent organizational, multi-tasking skills and dedicated to completing projects in a timely manner
  • The confidence to effectively and professionally respond to all enquiries to the Senior Leadership team.
  • The ability to work on your own initiative and be an integral part of a busy team.
  • Ability to effectively manage time, prioritize tasks and work within deadlines with little supervision
  • Ability to take initiative and exercise good judgment, discretion and confidentiality in all tasks
  • Ability to work in a fast-paced environment
