Student Engagement & Support Administrator

Job Purpose: To provide administrative support in the delivery of key initiatives and projects that enhance the overall student journey and student experience that is key in the Student Engagement and Support Strategy.

Location: Omagh Campus. However due to the nature of work within the College, it is anticipated that travel to other sites may be required.

Main Duties and Responsibilities:

  • To act as a first contact for the student service engagement service and signpost enquirers to appropriate support.

  • To assist in the delivery of an effective admission’s service particularly during peak periods.

  • To deal with general enquiries from applicants, their families, staff, students and auditors, including CRM, e-mail and telephone enquiries.

  • To receive and input admission forms ensuring that all relevant data is processed accurately via the student management system.

  • To enrol full time and part time students on the appropriate courses on the student management system (Ebs Central).

  • To ensure all College enrolment and course information is maintained in an accurate and up to date manner on the student management system (Ebs Central).

  • To assist with the organisation of Student Open/Registration/Induction events and any other Student Engagement related events.

  • To complete all relevant Student payment schemes, including utilising systems to effectively support and encourage students within these schemes. For example, the Educational Maintenance Allowance Attendance / Payment Scheme, including organising Learning Agreements/ bonus payments.

  • To identify any trends/issues arising from Student attendance records and alert appropriate College staff.

  • To provide an effective and confidential administrative service as directed by Line Manager to include:

    • Word processing and data processing.

    • Manual and computerised filing.

    • Appointments and diary system.

    • Planning and organising business visits to and from the College.

    • Receiving, processing and responding promptly to correspondence (e.g. post, e-mail etc)

    • Assist in the collection of information, compilation, presentation and dissemination of reports, forms, and materials for internal and external audits.

    • To provide administrative support for College earmarked funds (e.g. hardship fund and learning support provision), maintain all relevant records and systems to support delivery.

    • Maintain the central archive store, organising and filing documents as appropriate.

    • To analyse data and produce relevant information relating to Curriculum.

    • Order supplies and services by operating a computerised purchase ordering system in accordance with College procedures for the overall Student Support Team.

  • To assist in providing support for other College sections as required (e.g., Switchboard/reception/faculty support/data services etc.)

  • To provide a high quality, flexible and professional customer services to all users as measured against established service benchmarks.

  • To work flexibly as a member of the Student Engagement and Support Services team, attend team meetings and overall supporting the ethos and values of South West College at all times.

  • General Duties The post holder is expected:

    • To act as Duty Manager on a rotational basis for nominated Campuses as part of a team.

    • To support the Technical Services Manager in the management of delegated functional budgets and resources to ensure targets are met.

    • To develop benchmarks for the effective evaluation of the College’s Desktop Services team.

    • To participate, as required, in the recruitment and selection of staff for the College in accordance with procedures.

    • To abide by the College’s Code of Conduct and seek to promote the College positively at all times.

    Qualifications & Experience

  • A qualification at level 3 or above;

  • GCSE English Language and Maths (Grade A* - C) equivalent;

  • An Information Technology qualification at level 2 OR 1-year’s paid experience using Microsoft Suite of applications i.e. Word, Excel, PowerPoint, Outlook, Access;

  • A minimum of 1 years’ experience working within a busy office environment;

  • Excellent organisational skills with the proven ability to prioritise and manage workloads to meet deadlines;

  • Excellent ability to analyse data and produce relevant accurate reports.

  • General Have access to a form of transport that enables you to carry out the duties of the post.

    Terms and Conditions

    • Salary: Band 3 points 5-6 (£24,790 - 25,183 per annum). Commencing on £24,790 per annum

    • Contract Type: Permanent

    • Hours of work: 36 hours per week

    • Location: Omagh Campus. Due to the nature of work within the College, it is anticipated that travel to all campus sites may be required.

    • Holiday Entitlement: 12 public holidays plus 23 days rising to 29 days after 5 years’ continuous service

    • Pension: In accordance with NJC terms and conditions, the postholder will automatically be enrolled in the NILGOSC pension scheme which offers a range of benefits commensurate with public sector pension schemes.
