Fáilte Ireland invites applications for the position of Support, Tourism Careers. The role will report to the Officer – Tourism Careers. As the Tourism and Hospitality Industry continues to face a challenging operating environment and in particular in attracting and retaining top talent, Fáilte Ireland continues to support industry to navigate these challenges by supporting employees to build their capability and skills, and businesses to develop quality employer practices, and in so doing to enhance the reputation of the sector as a rewarding and appealing career choice for the long term. As part of this work Fáilte Ireland is seeking to recruit an energetic Support role to join the Tourism Careers Division in the Sector Development Directorate. This is a fantastic opportunity to work with the National Tourism Development Authority to help shape and influence the future of tourism in Ireland. The Support role in the Tourism Careers Division will support the overall work of the Sector Development Directorate in delivering on our overall strategic objectives of ensuring that the long-term needs of the Tourism sector are met through improved organisational efficiency and visitor experience.

JOB PURPOSE

PRIMARY OBJECTIVES/ KEY RESPONSIBILITIES

Careers Promotion 

  • Support the ongoing work to promote careers in tourism to key audiences. 

Support the Tourism Careers Officers in account management duties for TourismCareers.ie to include 

  • Collating of social media campaign performance metrics. 
  • Supporting the scheduling of inspiring career stories for tourismcareers.ie content strategy. 
  • Support the development of promotional materials for students and educators. 
  • Support the development of the work experience placement portal and its promotion among students and businesses. 
  • Manage arrangements for regular meetings relating to careers promotion with both internal and external stakeholders, capturing actions and following up as required. 
  • Support with the planning for attendance at promotional events for students nationwide. 
  • Support with queries from internal digital marketing teams and suppliers. 
  • Support with the production of videos to showcase diverse careers and career paths in tourism, assisting with research as required. 
  • Administer budget processes for careers promotion, including raising Purchase Orders, confirming goods received, processing invoices etc.

Support the development of Recruitment and Retention Initiatives for tourism industry

  • Support with the continued development of talent pipeline initiatives to include: 
  • Support with research on supports available to employers for recruitment and retention of staff in tourism. 
  • Support with relationship management with internal stakeholders and externals in education and industry. 
  • Maintain all records, files, folders and documents relating to meetings with stakeholders on Teams, to ensure all relevant information is accessible by all.

Administration Support for Tourism Careers team

  • Maintain all relevant records, files, folders and documents relating to the work of the Tourism Careers Team the to ensure all relevant information is accessible by all. 
  • Input into any Team reporting, Risk Registers, PowerPoint presentations and Organisational updates as required by Executive and Senior Management Team. 
  • Contribute to and positively engage with Tourism Careers team meetings and projects as required.

Carry out all other duties as required and participate as a full member of the Tourism Careers team by supporting different work projects, as required, from time to time. This role requires occasional domestic travel, with attendance at a number of national and regional locations / sites on an annual basis.

PERSON SPECIFICATION

ESSENTIAL CRITERIA 

Successful candidates will have knowledge and experience in an administrative role and have a high level of organisation skills. They will work cross functionally with other teams and stakeholders and should be able to demonstrate strong relationship management skills.

  • Strong office management and administration skills. 
  • Evidence of strong communication and interpersonal skills with the ability to communicate effectively both orally and in writing to internal and external stakeholders at all levels. 
  • Strong relationship management skills with the ability to communicate well with all levels of stakeholders, both internally and externally. 
  • Evidence of strong organisational and time management/planning skills and the ability to prioritise work and meet deadlines. 
  •  Ability to work in a fast-moving environment, and flexibility to react to changing situations. 
  • Team player. 
  • Strong proficiency in IT systems managing data, particularly Excel and CRM Databases. 
  • Meticulous attention to detail when preparing documents.
  • Evidence of proactive activity and ability to work on own initiative

In order to be eligible to apply for this role you must have/demonstrate in your application form the following 

  • A minimum of 2 years’ experience in an administrative support role which utilised strong office administration skills.
  • Demonstrable experience in working in project based activities.

QUALIFICATIONS/MANDATORY TRAINING 

A professional qualification (minimum Level 6 under the QQI Framework) in a related discipline is essential

DESIRABLE CRITERIA 

  • Experience of working in the tourism sector would be an advantage. 
  • Experience in organising or working on event management.

SALARY, KEY BENEFITS & LOCATION

Salary: €38,704 - €58,537* per annum (pro-rata) *This role will be filled in line with Public Pay Policy at Point 1 of the relevant Salary Scale unless the successful candidate is appointed from an existing public sector role. LOCATION: Blended work model with office location in any of the following: 

  • Áras Fáilte, 88–95 Amiens Street, Dublin 1, D01 WR86
  • 3rd & 4th Floor Crescent House, Hartstonge Street, Limerick, V94 K35Y 
  • Unit 5, Calbro Court, Tuam Road, Galway, H91 YKH4 
  • Cork 

There will be a blended work model with the office location based in Fáilte Ireland, Dublin, Limerick, Cork, or Galway. However, there will be an expectation for the post holders to spend regular time in the Dublin Office at Fáilte Ireland, 88–95 Amiens Street, Dublin 1.
