Transport & Maintenance Coordinator
Overall Purpose of the Post: The Transport and Maintenance Coordinator will be responsible for the operation of the transport service including: completion of weekly transport schedule, line management of assigned transport staff and responsibility for their supervision, training and development. They will also be responsible for the day-to-day maintenance of the premises at Nenagh & Thurles and the transport fleet, while liaising with key stakeholders and ensuring compliance with all Health & Safety Legislation. They will act as Health & Safety competent person for the Nenagh & Thurles services and work with the manager to ensure Health & Safety standards are met within the services are compliant with national standards.
Duties
Transport Coordination:
• Complete the day-to-day planning and scheduling of transport service including staff rosters
• Direct line management of assigned employees including responsibility for induction training, probation, supervision and performance management process for all transport employees
• Facilitate and support employee development and training to ensure that personal, professional and organisational goals are aligned, including performance management
• Act as point of contact for service owners/families and staff for last minute changes to transport schedule.
• Use transport efficiently by planning runs and schedules to ensure value for money can be attained
• Ensure maintenance and upkeep of assigned Enable Ireland vehicles including cleaning and scheduling of regular servicing, valeting, roadworthy tests, and ensure all relevant Health and Safety standards and checks are applied.
• Ensure that all internal vehicle equipment such as hoists, seatbelts, safety harnesses, wheelchair restraints, etc. are maintained and in safe and proper working order at all times.
• Maintain records of bus mileage, diesel usage and maintenance and any other records as required.
• Ensure vehicles are taxed and insured.
• Carry out daily and weekly safety checks on vehicles.
• Identify training requirements of staff and liaise with the relevant manager to ensure these are met.
• Be willing to upskill to deliver transport training to relevant staff.
• Assist service managers in preparing for RSA vehicle inspections.
• Monitor vehicle maintenance and RSA compliance across the service.
• Maintain the vehicle maintenance tracker.
• Undertake driving duties where required including transport runs, and dropping and collecting vehicles for servicing/MOT/NCT etc.
• Review and file vehicle checklist and bus journey log sheet as they are received.
• Support service manager in vehicle purchase and adaptations.
• Provide frontline transport to service owners as required.
Premises Maintenance:
• Track all incoming maintenance requests and update request register and track completion of works.
• Develop and maintain a preventive maintenance programme.
• Track buildings and grounds upkeep as well as anticipated long, medium and short-term improvements and maintenance issues.
• Liaise with service manager to schedule all works based on priorities.
• Act as point of contact for ongoing contractor work within the service.
• Request and review quotes for the completion of works for submission to service manager.
• Responsible for ensuring that appropriate security measures are in place.
• To support the local managers and co-ordinators, in premises related issues such as the management of waste, recycling, sustainability and energy efficiency.
• Create suitable environments for the purpose and needs of the facility (i.e. set up of premises for different events).
• Work closely with managers and staff to ensure that all issues are dealt with in a timely manner.
• Ensure all service contracts and check sheets are kept in date and stored.
• Ensure statutory and non-statutory logs are kept up to date (including emergency lighting, Legionella and fire safety equipment).
• Source suitable tradespeople to complete work locally in conjunction with the business manager and our procurement guidelines.
Health & Safety:
• To fulfil the role of health and safety competent person and be responsible for overseeing the implementation of all premises and transport related Health & Safety processes, in collaboration with service managers.
• To support the service manager in the monitoring and delivery of mandatory Health and Safety Training and development and support tracking of same
• Provide advice on health and safety and risk management for the service premises including the development and monitoring of policies and procedures, and ensuring compliance with all relevant
• Responsible for carrying out risk assessments and the upkeep of service risk registers, conduct audits and the required Health and Safety processes. Ensure these are carried out in conjunction with service manager and local staff.
• Ensure security and emergency preparedness procedures are implemented properly.
• Ensure adequate supplies of PPE are maintained and support distribution of these supplies to services in the Midwest.
• Maintain adequate stock of any identified supplies required for the ongoing running of the service.
• Ensure facilities are maintained at optimum standards according to company policy and procedures and infection control guidelines.
• Communicate workplace safety precautions to employees.
• Conduct and document regular facilities and Health and Safety related inspections.
• Take responsibility for implementation and compliance of Enable Ireland policies, procedures and protocols as relevant
• Represent Enable Ireland on relevant committees/ initiatives as delegated.
• Support and participate in the area assigned local site management group.
• Provide related support to the Director of Services as required.
• Ensure that the requirements/standards to meet the Health & Safety and welfare of staff and visitors accessing the Services in the area are in place.
• Ensure that all equipment and supplies meet health and safety standards and arrange for regular servicing where required.
• Ensure accurate and timely health and safety reporting is in place across the area.
To minimise exposure to breaches of GDPR, strict compliance is required In the course of carrying out the duties of this job and working with others. This will include, but is not limited to, compliance with Enable Ireland’s suite of GDPR Policies & Procedures, attending all GDPR Training sessions and ensuring personal responsibility for implementing safeguards and measures as directed.

Probation: A probationary period of 6 months applies, wherein three probationary meetings will take place to review your performance and suitability for appointment. The probationary period may be extended or terminated for any reason at Enable Ireland’s discretion.
Salary: The current salary scale for this post is €35,365 to €54,027 pro rata per annum.
Annual leave: Annual leave entitlement is 30 days pro rata per annum and proportionately less for less than 12 months service.
Pension Scheme: Enable Ireland operates a contributory pension scheme which all employees may join following start date.
Medical: The successful candidate will be required to undergo a medical assessment.
Garda Clearance/Police Clearance: These will be required for all prospective employees who will undertake relevant work or activities relating to children or vulnerable persons.
Sick Pay: (If applicable) Redeployment
All periods of sickness exceeding two days must be medically certified. Weekly medical certificates are required thereafter. The Company reserves the right to have you examined by its own Doctor after 3 months continuous sick leave.
Upon completion of 6 months continuous service with the Company sick pay will be as follows: Full pay less social welfare for the first 13 weeks of sickness in any 12 month rolling period and half pay less social welfare for a further (13) weeks of sickness absence in the same 12 month rolling period
In exceptional circumstances the organisation reserves the right to redeploy you to an alternative role that is suitable to your skills and experience.
A. Qualifications and Experience
• 1 years experience in working in a similar operational role
• Must have a full driving licence
• Must be eligible to work in state
• Experience coordinating staff and rosters
• The ability to multi task.
• Be proficient in Microsoft Word, Excel and Outlook.
• Team player with a positive attitude.
B. Organisational and Professional Knowledge
• Broad knowledge of Enable Ireland and the core values of its services
• Good knowledge of Health & Safety standards and compliance
• Strong technical capability with attention to detail
• Strong problem solving and trouble shooting ability
