Volunteer Centre Administrative Support Officer (Part-time, Fixed-Term Contract)

The Position

Meath Partnership is seeking a motivated and organised professional to join Meath Volunteer Centre as an Administrative Support Officer. This role will provide administrative and operational support to the Volunteer Centre team and will help to support the smooth and efficient management of volunteer records, placements and communications with Volunteer Involving Organisations across Co. Meath.

The post will support the implementation of the annual work plan of Meath Volunteer Centre and contribute to the promotion and development of volunteering locally. The role will involve maintaining accurate volunteer data, supporting volunteer placement processes, assisting with events and outreach activities and contributing to communications and promotional work.

This role is central to the effective day to day administration of the Volunteer Centre and requires strong organisational skills, attention to detail, excellent interpersonal skills and a commitment to the value of volunteering and community participation.

Key Accountabilities

Reporting to the Centre Manager, the Volunteer Centre Administrative Support Officer will be responsible for:

1. Volunteer Administration and Database Support

  • Maintaining and updating records of volunteers and volunteering opportunities using the I-Vol system, ensuring all information is accurate, up to date and recorded in a methodical manner.
  • Supporting the administration of volunteer placement activity, including the coordination of interviews, follow up communications and record management.
  • Keeping accurate and organised records relating to volunteers, volunteering opportunities and Volunteer Involving Organisations.
  • Supporting the preparation of reports, documentation and other administrative materials as required.

2. Operational and Event Support

  • Assisting with the organisation and delivery of volunteer related workshops, roadshows, events and initiatives that promote volunteering across the county.
  • Providing practical administrative support for community outreach and promotional activities undertaken by the Volunteer Centre.
  • Supporting Volunteer Involving Organisations with administrative processes linked to volunteer recruitment, placement and reporting.
  • Participating, where necessary, in regional and national meetings and events in collaboration with Volunteer Ireland and other relevant networks.
  • 3. Communications and Promotion
  • Contributing to the promotional work of the Volunteer Centre through social media, website updates, print materials and other communication channels.
  • Assisting in the promotion of volunteering opportunities and initiatives to individuals, communities and organisations.
  • Communicating in a professional, friendly and approachable manner with volunteers, organisations and stakeholders.

4. General Team and Organisational Support

  • Working collaboratively with the Meath Volunteer Centre team to implement agreed work plans and priorities.
  • Undertaking other appropriate administrative or operational duties as may reasonably be assigned by the Centre Manager.

Educational Qualification or Professional Attainment

Possession of a relevant educational or professional qualification and/or experience relevant to administration, community work, volunteer support, customer service or a related field.

Essential Knowledge and Experience

  • Strong commitment to the concept and value of volunteering.
  • Excellent interpersonal and communication skills, both written and verbal.
  • Strong organisational, administrative and IT skills.
  • Ability to work effectively with a wide range of individuals and organisations.
  • Ability to work on own initiative and as part of a team.
  • Accurate, methodical and detail oriented approach to work.
  • Ability to provide professional and approachable support to volunteers and organisations.
  • Full clean driving licence and access to own transport.

Desirable Skills, Abilities and Experience

  • Experience of working in the voluntary, community or non-profit sector.
  • Experience of maintaining databases, records or CRM systems.
  • Experience supporting events, workshops or community initiatives.
  • Experience contributing to social media, website or promotional communications.
  • Enthusiasm, flexibility, drive, friendliness and approachability.
  • Knowledge and understanding of volunteering structures and supports in Co. Meath would be an advantage.

Terms of Employment

One part time, fixed term position is available, working 18.75 hours (2.5 days) per week.

The role will require some evening and occasional weekend work. A full driving licence and access to own transport is essential due to the outreach services associated with the position. This post may be subject to Garda Vetting in line with Meath Partnerships policy.

Duration

This is a fixed-term contract concluding on the 31 st December 2026. Any extension to the contract of employment will be subject to the availability of funding.

Location

Successful candidates will be based in Meath Partnership’s Head Offices, located at Units J & K, Kells Business Park, Cavan Road, Kells, County Meath. Salary

This post is aligned to the Programme Support Officer salary scale. The starting salary range for this appointment is €28,000.00 - €31,514.25 per annum (Points 1-5). Appointment will normally be made at Point 1 of the scale. Placement above Point 1 may be considered, in accordance with the Organisation’s Salary Scales Policy and having regard to directly relevant experience, specialist skills and qualifications.

Leave

The annual leave entitlement is twenty (20) days per annum, pro-rata for shorter periods.

Entitlement to leave for Public Holidays is in accordance with the terms of the Organisation of Working Time Act 1997. Meath Partnership closes for five (5) days at Christmas; this time is additional to the annual leave entitlement detailed above.
