The Role:
The Asset Operations function forms the cornerstone of service delivery to customers, protecting the environment and meeting regulatory standards as well as managing the majority of operational expenditure. The Asset Operations function has responsibility for operational and maintenance strategy, policies, planning and standard operating procedures for Water and Wastewater operations both nationally and regionally, ensuring that value for money and customer service is delivered.
The Workflow Functional Area is responsible for the management and monitoring of all outdoor work through the full work order lifecycle from planning to closure. This includes overseeing the initiation, dispatch and progression of work orders, processing of service requests, allocating adequate resources, identification of bundling opportunities, identification of work pre-requisites, creation of work orders to be progressed and dispatched to the field, the management of the logistics and stores to enable effective and efficient inventory control, Outage notification & processing and complaint resolution.
Reporting to the Workflow Reporting Supervisor, the Workflow Reporting Coordinator will be responsible for producing and collating all Workflow key operational and regulatory reports including preparation of month end reporting packs for circulation.
Main Duties and Responsibilities:
- Responsible for producing and collating all Workflow key operational and regulatory reports including preparation of month end reporting packs for circulation
- Responsible for support the various Workflow and Asset Operations teams in undertaking trend analysis on data validation, and data management
- Responsible for carrying out day to day gathering and management of Workflow data, ensuring strict adherence with relevant timelines
- Identify data quality issues and anomalies, escalating and resolving where possible
- Prepare and provide ad-hoc incident management reports and generate of heat maps as required
- Reviewing, updating and ultimately creating new reports in various systems.
- Responsible for maintaining and updating internal databases and reporting systems
- Prepare and provide regular status reports as required, to the Workflow Reporting Specialist & Asset Operations
- Raise risks and issues, as appropriate, to the Workflow Reporting Specialist
- Drive key operational decision making through provision of tailored reporting and analysis
- Monitor / report on work management KPI’s and make appropriate recommendations to the business to ensure best practices are implemented and stakeholder expectations are achieved
- Proactively identify areas for improvement by highlight key trends through the analysis of data
- Responsible for carrying out any other duties deemed necessary and / or required, which the Workflow Reporting Supervisor may reasonably request.
General Duties and Responsibilities:
- Collaboration with key internal stakeholders across the UÉ business.
- Responsible for promoting and delivering health and safety commitments across UÉ and its supply chain, reinforcing positive behaviours and delivering health and safety objectives and requirements to the highest industry standards.
- Support the delivery of the Uisce Éireann Transformation Programme, driving results required within the Directorate and supporting organisation-wide objectives.
- Provide visible leadership for your team, coaching and developing them to achieve their full potential and deliver business objectives, promoting collaboration and highlighting the behaviours that are expected from everyone in the team.
- Other duties as required.
Knowledge, Skills and Experience:
- Relevant third level qualification and or accreditation is desirable and or relevant experience
- A minimum of 2 years’ relevant experience required. Experience in the water, utilities or similar industries is desirable.
- Proactive, with ability to work on own initiative and with others to ensure success in the performance of a team
- Proven effective time management skills with the ability to prioritise and remain focused
- We work better together - proven ability to create and develop good working relationships to facilitate the accomplishment of work goals, coupled with the ability to gain commitment from others
- Excellent verbal and written communication skills with the ability to convey messages in a clear and concise manner
- Strong Computer skills with a proficient working knowledge of Excel (eg. formulas), PowerBI (plus Power Query) and MS suite packages
- Knowledge of database principles and coding experience a distinct advantage (principally, but not limited to; SQL, M, DAX and VB).
- Ability to set up ongoing processes and procedures to collect and review information
- Flexible with regard to working in a changing environment and the ability to adjust to new work structures, processes and requirements as necessary
