Clerical Officer

Salary: £26,973 - £29,334 per annum JOB PURPOSE: The post-holder will assist the NI Clinical Research Facility( NICRF) , to catalyse our clinical trial growth and drive high-quality research and excellence in clinical trial delivery. The post-holder will work with the clinical research facility team and act as a specialist resource in administrative clerical and data management support for all aspects of research delivery in the NICRF. They will be part of the operational administrative team and will support the operational administrative team to ensuring studies are setup and delivered in an efficient and timely manner. MAJOR DUTIES: 1. Act as a resource with regard to administration procedures and guide other members of the research team. 2. Taking a key role in the study setup processes e.g. preparing documents for local governance and co-ordinating SIVs/monitoring visits, setting up and maintaining site files and coordination of amendments. 3. Support clinical research teams with preparation of site documents eg Case Report Forms, consent forms worksheets etc. 4. Process orders, invoices and expense claims and assist in the monitoring of budgets through the university/funders requirements. 5. Take a key role in organising close out of studies including resolving any outstanding queries, archiving and finance reconciliation. 6. Assist the clinical research team in data input/transcribing and completion of electronic CRFs and handling queries as deemed appropriate. 7. Support other organisational/administrative activities linked to the conduct of studies within the NICRF. This will include e.g. organisation of meetings, word processing preparation of presentations, reports etc. 8. Provide support to relevant staff linked to administration and data management activities on trials, this will include providing reception duties for the facility. 9. Support administratively NICRF research teams to deliver on key objectives. 10. Monitor and review, making suggestions for improving data processing efficiency, taking comments from the NICRF team and researchers into account. 11. Liaising with external bodies such as Records Departments in hospitals or General Medical Practices in relation to accessing medical records and receiving relevant details of medical records. 12. Use understanding of the NICRF processes and systems, and the Standard Operating Procedures to manage data and prepare reports and other materials, using standard and some non-standard formats and software. 13. Adhere to the Data Protection Act and internal policies on data confidentiality and IT security and Standard Operating Procedures. 14. Carry out any other duties which are appropriate to the post as may be reasonably requested. ESSENTIAL CRITERIA: 1. *A minimum of 5 GCSE’s at Grade C or above (or equivalent) to include English Language and Mathematics or NVQ Level 2 Administration. 2. *A minimum of three years’ (demonstrable) relevant work experience in an administrative environment to include evidence of the following: - Working on multiple tasks/projects, managing own. workload from start to finish and reacting to changing priorities. - Competent in the use of Microsoft Office and windows applications, using databases/spreadsheets to analyse data and to present results accurately. - Carrying out a range of complex administrative duties which involve using initiative and making decisions. - Delivering work in line with agreed quality standards, guidelines and procedures. 3. Demonstrable organisational skills. 4. Good understanding of relevant regulations and procedures. 5. Good oral and written communication skills. 6. Ability to provide effective service (including customer service) to required quality standard. 7. Ability to prioritise work and work on own initiative and as part of a team. 8. Ability to manage resources. 9. Ability to plan and organise workload to meet standards and deadlines. 10. Flexible, willing to adapt to new tasks and duties. 11. Willing to travel to hospital sites in the Belfast area. DESIRABLE CRITERIA: 1. *Supervisory experience. 2. *Clinical research administration experience. 3. *QUB Finance experience. 4. Good Clinical Practice Training. ADDITIONAL INFORMATION: This post will initially be based in the NICRF but will be relocated to NICRF within iREACH Health. Please note that the post is office based, 5 days per week. Hybrid working is not available for this post. iREACH Health is an exciting new project for healthcare in Northern Ireland, the outcome of creative collaboration between academia, industry, the NHS, and public sector/government stakeholders to drive UK science and innovation and is focused on modernising our research infrastructure. iREACH Health will drive continuous improvement in patient care and outcomes through innovation by integrating the activities of clinicians, life scientists and data scientists with industry partners to identify and develop new diagnostic tests, treatments, and health related technologies. iREACH Health due to be operational in 2026/27 provides the platform to create a patient-centered, pro-innovation and digitally enabled clinical research environment.
