Purpose of the Post • Provide leadership and management in portering/security services in achieving a standard of excellence. • Ensure the delivery of high standards of portering/security services are provided in St Luke’s General Hospital (SLK). • Ensure effective and efficient provision of portering/security services is provided to ensure quality and patient safety is upheld. • The person holding this post is required to support the principle that the care of the patient comes first at all times and will approach their work with the flexibility and enthusiasm necessary to make this principle a reality for every patient to the greatest possible degree. • Maintain throughout SLK’s awareness of the primacy of the patient in relation to all hospital activities. • Performance management systems are part of the role and you will be required to participate in SLK’s performance management programme. Principal Duties and Responsibilities The post holder must be able to demonstrate a working knowledge of IT systems and an ability to use computer software to record and retrieve information. Administrative Duties • Work with the Deputy Head Porter, in managing staff duties to ensure the smooth running of portering/security services include rostering arrangements, daily workloads and ensuring that service requirements are met. Arrange cross cover for porters for annual leave/sick leave/Linen service cover as and when required. • Have line manager knowledge of grievance and disciplinary procedure and Dignity at Work. • Record monitor and approve all leave types. • Prepare for Senior validation, process and manage all payroll duties for the discipline in line with the National Financial Regulations Ensure that pay returns are accurate and returned in a timely manner. • Monitor unplanned /planned absences and ensure adequate cover is available to meet service need. • Ensure that staff attendance is managed as per HSE policies procedures and guidelines. Convene and make necessary actions resulting from return to work meetings for staff following absenteeism. • Ensure that records and time returns of staff are kept and that any unauthorised absences are reported and managed. • Ensure that monthly reports are provided to demonstrate the effective and efficient use of resources. • Arrange scheduled portering services team meetings with portering staff. • Provide portering representation at relevant committees and groups. • Support the development and implementation of written policies, procedures & guidelines. • Communicate to porters on new policies, procedures and guidelines. • Participate in hospital audit relevant to portering/security service. Education and Training • The post holder must be familiar with the necessary education, training and support to enable them to meet their responsibility and has a duty to familiarise themselves with the relevant organisational policies, procedures and standards • Participate and coordinate both mandatory and in service training and development in order to maintain enhance and develop the necessary knowledge and skills to provide a quality portering/security service. • Ensure statutory training is attended as required and that staff training is kept up to date, e.g. manual handling, hand hygiene, fire safety, waste management training, security training and Therapeutic Management of Violence & Aggression (TMVA) training or equivalent. • Ensure that fire orders and safety health and welfare at work legislation are observed and that staff attends any other health and safety programmes as required. • Provide mentoring and training for new portering service employees • Attend mandatory training programmes • Strive to maintain standards of practice and levels of clinical knowledge by participating in continuous professional development initiatives and attendance at relevant courses as appropriate • Participate in induction and mentoring with professional colleagues. • Participate and play a role in the practice education of student Dietitians. • Produce and evaluate nutrition education materials for patients and multidisciplinary teams. • Participate in clinical supervision, mentoring and appraisal • Actively participate in the staff grade rotations to new specialities within the department, as required. KPI’s • The identification and development of Key Performance Indicators (KPIs) which are congruent with the Hospital’s service plan targets. • The development of Action Plans to address KPI targets. • Driving and promoting a Performance Management culture. • In conjunction with line manager assist in the development of a Performance Management system for your profession. • The management and delivery of KPIs as a routine and core business objective. Appointment A panel will be established for the post of First Level Controller (Grade V) which will be used to fill both permanent and temporary vacancies which may arise during the lifetime of the panel. The Regional Assembly shall require a person to whom an appointment is offered to take up such appointment within a period of not more than one month and if he/she fails to take up the appointment within such period or such longer period as the Regional Assembly in its absolute discretion may determine, the Regional Assembly shall not appoint him/her. Duration The position is full-time and permanent, subject to one year’s probationary period. Reporting Relationship The First Level Controller will report to the Auditor of the Regional Assembly as instructed by the Assistant Director. Superannuation Persons who become pensionable officers of a Regional Assembly, who are liable to pay the Class A rate of PRSI contribution will be required in respect of their superannuation to contribute to the rate of 1.5% of their pensionable remuneration plus 3.5% of net pensionable remuneration (i.e. pensionable remuneration less twice the annual rate of the State Pension Contributory). Persons who become pensionable officers of a Regional Assembly who are liable to pay the Class D rate of PRSI contribution will be required, in respect of their superannuation, Regional Assembly to contribute to the Regional Assembly at the rate of 5% of their pensionable remuneration. Widows and Orphans/Spouses and Children’s Scheme All persons who become pensionable officers of a Regional Assembly are required, in respect of the Local Government (Spouses and children’s Contributory Pension) Scheme, 1986 to contribute to the Regional Assembly at the rate of 1.5% of net pensionable remuneration (i.e. pensionable remuneration less twice the annual rate of State Pension contributory) in accordance with the terms of the Scheme. Salary The salary is analogous to Grade V, which is currently €51,210 - €61,252 inclusive of long service increments. Travel & Subsistence Travel and subsistence costs arising in the course of official duties will be payable at Department of Housing, Planning and Local Government rates. Place of Work The HQ of the Regional Assembly is in Ballaghadereen Co. Roscommon. Probation/Performance Review Where a person who is not already a permanent officer of a Regional Assembly or Local Authority is appointed, the following provisions shall apply: - a) There shall be a period after appointment during which the appointee will hold the position on probation. b) Such period shall be one year and may be extended at the discretion of the Director. c) Such person shall cease to hold the office at the end of the period of probation unless during such period the Director has certified that the service of such person is satisfactory based on the recommendation of the relevant Supervisor. d) Employment may be terminated during the probationary period should service be deemed by the Director to be unsatisfactory. Annual Leave Annual leave entitlement is 30 days per annum exclusive of public and bank holidays. Working Hours The normal hours of work will be 35 hours per week. The Regional Assembly reserves the right to alter the hours of work from time to time.

Principal Duties Administrative and other duties: This will include: • General office administration, including maintenance of records, accounts, details of budgets, creation and maintenance of databases and spreadsheets, managing appointments, correspondence, maintenance of files, circulation of information to staff etc.; • Reception duties, including answering phones, taking messages and responding to enquiries from prospective students and members of the public; • Updating and proofing University material relevant to the Department, including Admissions Office, University Calendar, Module Descriptors, Website, and University information systems; • Implementing new University procedures as they arise; • Participating in on-going training and development, and workshops as opportunities arise; • Support for the Head of Department, the Department Administrator and Department staff; • Accounts administration, i.e. processing of invoices, expenses for payment & liaising with Accounts Dept.; • Dealing with queries from other administrative units within the University, and from relevant outside agencies; • Supporting the hosting/hospitality of various Music Events/Guest Lectures held throughout the academic year; • Instrument care / maintenance / repair / tuning sourcing • Instrument storage / key allocation; • Instrumental lesson scheduling for teachers and students; • Room scheduling and timetabling; • Payment of instrumental instructors (using the Occasional Payments System); • Practical examinations: scheduling / venues / examiners / students. The ideal candidate will have: Essential • Excellent IT skills – Microsoft Office Suite, preferably including advanced Excel skills; skilled in Social Media, Email, Google Calendar, Moodle; • Excellent interpersonal skills and enjoys dealing with varied enquiries by telephone, in person and via email; • Experience of working in a similar role providing administrative support to a large number of people; • Copes well under pressure and has experience of working to deadlines; • Has a work ethic that is flexible, systematic and organised; • Has an ability to liaise effectively with staff and students; • Is organised and capable of taking initiative; • Is equally adept at dealing with periods of pressure and using less busy times to identify and undertake self-directed work; • Has the ability to work with confidential material in a discreet manner; • Has a willingness to learn new information systems effectively. Desirable • A good working knowledge of music. Faculty and Research Institutes The Faculty of Arts and Humanities comprises the Departments of Music, History, Ancient Classics, English, Media, Studies, Philosophy, the School of Celtic Studies and the School of Modern Languages, Literature and Cultures. The role of the Faculty is to co-ordinate the academic activities of individual departments, to oversee the strategic development of departments, and to support interdepartmental activities and programmes. The University has also developed a number of interdisciplinary Institutes to support excellent research and to build research capacity across disciplines. Department The Department of Music houses a large undergraduate and postgraduate community, and is responsible for two undergraduate programmes, five taught MA programmes, one MSc and multiple research students and postdoctoral researchers. Teaching and research in musicology, performance, composition and music technology lie at the heart of its work. The Department makes a unique contribution to the life of the University and the local community, while the research activity of the Department’s academic staff is internationally recognised. Tenure This a full-time, permanent post. Salary Executive Assistant (2025): €31,713 – €47,950 p.a. (13 points) Appointments will be made in accordance with public sector pay provisions. Hours of work A 35-hour working week is in operation in respect of full-time positions (prorated for part-time positions).
