Working 10 hours per week from 5.30pm to 8.00pm Wednesday and Thursday, and 9.00am to 2.00pm Friday, according to the rota. Additional hours may be required from time to time and applicants must be fully flexible to work according to the rota. Working as part of a team duties can include; sales of over the counter medicines, providing customers with information on symptoms and products, prescription receipt and collection, date checking, and the ordering, receiving and storing of pharmaceutical stock. Corporate Event Co-ordinator
KEY RESPONSIBILITIES Event Coordination & Delivery • Coordinate the planning and delivery of corporate events, conferences, meetings and bespoke experiences from initial enquiry through to post-event review. • Act as the primary point of contact for clients throughout the event planning process, ensuring clear communication and exceptional customer service. • Prepare event documentation including event briefs, schedules, function sheets and operational requirements. • Coordinate suppliers, contractors and internal departments to ensure seamless event delivery. • Conduct client site visits and assist in developing tailored event solutions to meet customer requirements. • Ensure all events are delivered in line with W5 quality standards, operational procedures and BEET principles. • Support the delivery of seasonal, commercial and other W5 events as required. Client Relationship Management • Maintain and develop strong relationships with existing corporate clients, sponsors, partners and stakeholders. • Manage post-event feedback and follow-up activities to encourage repeat business and continuous improvement. • Maintain accurate client records and event information within CRM and reporting systems. • Work collaboratively with commercial, sponsorship and partnership teams to maximise opportunities arising from existing relationships. Cross-Functional Event Support • Work closely with Operations, Food & Beverage, Exhibition and Content, Learning & Engagement and Experience teams to ensure joined-up event delivery. • Assist in developing consistent event processes, communication standards and reporting procedures across all W5 events. • Provide support across the events function during periods of peak activity, annual leave or staff absence. • Contribute to continuous improvement initiatives that enhance efficiency, customer experience and event profitability. Administration, Reporting & Information Management • Maintain accurate event records, budgets, forecasts and event administration. • Support the collection and reporting of event performance data, customer feedback and operational metrics. • Assist with the development and maintenance of event management systems, processes and documentation. • Produce timely reports as required on event activity, client engagement and operational performance. Marketing & Promotion • Support the promotion of W5's corporate event offering through networking opportunities, events and referral relationships. • Provide feedback and insights to support marketing activity and development of event packages. • Represent W5 professionally at client meetings, showcase events and industry functions where required. General Duties • Support the wider Operations and Events teams as required. • Ensure alignment with Odyssey Trust policies relating to Safeguarding, Health & Safety, Equality and Diversity. • Be flexible in undertaking additional duties as required by the line manager. • Work evenings, weekends and public holidays where required to support event delivery. All OTC staff are expected to: • Maintain excellent working relationships with other staff and volunteers. • Ensure the delivery of BEET to all our customers and be committed to the Odyssey ethos and objectives. • Be committed to and work in accordance with our Safeguarding, Health & Safety, Equality and other established policies and procedures. • Be flexible to undertake such other duties that may be required, including working evenings, weekends and public holidays. SELECTION CRITERIA Essential Criteria • Minimum 1 year's experience in an events coordination, hospitality, tourism, venue or customer-facing operational role. • Experience coordinating multiple projects or events simultaneously while maintaining high standards of organisation and attention to detail. • Proven ability to build and maintain positive relationships with clients, suppliers and colleagues. • Excellent organisational, communication and administrative skills. • Strong problem-solving abilities and the capacity to remain calm under pressure. • Experience using Microsoft Office applications and event management, booking or CRM systems. • Ability to work flexibly, including evenings and weekends when required. • Access to personal transport or ability to attend meetings and events off site. Desirable Criteria • Experience coordinating corporate events, conferences, hospitality or visitor attraction events. • Experience working across multiple departments to deliver successful projects or events. • Knowledge of venue operations and event logistics. • Experience using CRM systems and event reporting tools. • Qualification in Event Management, Hospitality, Tourism, Business Administration or a related discipline. • Knowledge of hybrid or virtual event platforms including Teams and Zoom.
