DUTIES AND RESPONSIBILITIES 1.           Assists with recording and stamping incoming mail and planning applications and distributing to the relevant departments including processing outgoing mail. 2.           Recording receipt of monies / fees from customers in line with office financial procedures. 3.           Provide administrative support services including scanning, printing photocopying, and uploading documents and data entry. 4.           Maintain a system of retrieval and replacement of files as required including maintenance of storage areas. 5.           Provide first point of contact for information and deal with customer enquiries. 6.           Deal with queries from customers in relation to planning applications. 7.           Arranges open file appointments and viewing of files, taking into account GDPR and data protection arrangements. 8.           Filing, file retrieval and managing requests for copy documents. 9.           Participate in and ensure compliance with all Council policies and procedures and operate within the highest standards of personal behaviour which reflect the core values of the organisation. 10.       Ensure full compliance with Health and Safety requirements and legislation in accordance with Council’s Policies and Procedures. 11.       Comply with and actively promote the Council’s policies and procedures on all aspects of equality. 12.       Undertake any other duties appropriate to scale, which may be required from time to time. This recruitment exercise will be used to fill Facility Services Assistant / Cleaners vacancies that may arise within the Mid Ulster District i.e. including Cookstown, Dungannon and Magherafelt. The Council may retain a list of reserve candidates arising from this recruitment campaign, for any vacancies which may arise which are the same or similar and are of an equal grade of pay. This list will be valid for 12months. “Another similar vacancy” is defined as a post with a similar job description and person specification and on the same salary scale, which may be in a different department or duration to the vacancy initially advertised.  Another similar vacancy does not include posts where the similarity relates solely to the salary scale.   Purpose and Function of Post To undertake either individually or as a member of a team the duties concerned with the cleaning and servicing of public conveniences.   Principal Duties and Tasks Performed: 1.     You must ensure that you maintain a polite and courteous manner towards members of the public at all times. 2.     Ensure the correct cleaning materials are used in accordance with manufacturer’s instructions. 3.     Prior to the commencement of cleaning ensure warning signs are displayed in proper places. 4.     Thoroughly clean floor, tiles, windows and ledges, including entrances. Thoroughly scrub with detergent, rinse with clean water and dry. 5.     Wash and dry WC seats, clean pans, urinals and washbasins etc. checking they are all in working order. 6.     Open and secure the facility each day in line with its hours of operation. 7.     Clean door furniture, mirrors, taps and fittings etc. 8.     Put up soap bars or refill soap dispensers as required. 9.     Submit requests for materials or supplies to the Supervisor. 10. Remove graffiti from affected areas. 11. Ensure that all items are in good working order and report all defects and damage and repair minor damage. 12. Deal with complaints from the public and report them all to the Supervisor. 13. Carry out such other work which may become necessary as circumstances dictate. 14. Ensure toilet roll holders are intact and stocked with toilet rolls. 15. Empty bins and ensure entrance to facility is litter free. Remove any weeds and detritus at the facility. 16. Visually inspect the toilets for any signs of vandalism, damage, defects, leaks and wear and tear. Report defects to Supervisor. 17. Check hand dryers are working or restock paper towels. 18. Restock as required urinal deodorizing blocks and air freshener dispensers.   Duties And Responsibilities – General 19. To operate to the Council’s core values, mission statement and codes of behaviour. 20. Act in accordance with the Code of Conduct for Local Government employees. Undertake the foregoing duties in such a way as to enhance and protect the reputation and public profile of the Council. 21. To take reasonable care for your health and safety and have regard to other persons who may be affected by the performance of your duties, in accordance with the provisions of Health & Safety legislation, and Council Codes of Practice and Procedures. 22. To exercise proper care in handling, operating and safeguarding any equipment vehicle or appliance provided, used or issued by the Council or provided or issued by a third party for individual or collective use in the performance of your duties. 23. To adhere to existing work practices, methods, procedures, undertake relevant training and development activities and respond positively to new and alternative systems. 24. Assist the Building Maintenance Officer to ensure that performance targets are achieved to agreed quality standards as appropriate. 25.
