Overall Purpose of the Post: The post-holder will assist in the co-ordination of the Community Paediatric Clinics and other identified clinics within the regional CHO4 Physical Disability Support Service to facilitate the smooth and efficient functioning of each clinic. The post holder will also provide a wide range of administration supports to the clinics. The role may include other administrative tasks and responsibilities as identified by the PDSS Co-Ordinator, Children’s Services Manager or designate. Duties: • Provide administrative supports for identified clinics before, during and after the clinics as required. • Facilitate in scheduling clinics including management of cancellations, postponed appointments etc. • Support the intake process for identified clinics, liaising with relevant personnel both within the organisation and in external organisations and hospitals. • Record information on and maintain accurate databases to manage the relevant information pertaining to clinics. • Scheduling of appointments for clinics and communication with service users and other stakeholders regarding same. • Preparation of clinic space prior to clinics, ensuring that required equipment is available. • Participate in management of office supplies for clinic purposes. • Provide typing services and work with identified software for processing of medical letters and records. • Provide typing services to ensure full MDT, relevant clinicians and families receive timely communications. • Assist with the preparation of files as requested under FOI and GDPR • Become proficient in the use of the Enable Ireland Service User database – Goldmine and other relevant databases • Ensure files are prepared for the scheduled clinics. • Liaising with CDNT administrators regarding clinic files and service user records (hard and soft copies). • Maintain effective filing and archiving (hard and soft copies) of all Service/Service User records. • Process and issue consent packs as appropriate ensuring GDPR policy is followed • Process outgoing and incoming post (i.e. logging same in database, distributing incoming post etc) • Maintain efficient office practices, showing initiative to suggest improvements to support the efficient workings of the clinics. • Collation of data and preparation and compilation of reports as required. • Keep Children’s Services Management appraised of clinic activity as required. • Provide reception/switchboard support and front of house support to the service. • Complete tasks with a high level of attention to detail. • Understand and work within Enable Ireland’s code of confidentiality. Communication: Ensure that good, clear and respectful communications and relationships are developed and maintained with children, their families, and colleagues including Childrens Disability Network Managers, Children’s Services Manager, Clinicians, Director of Services and Heads of Discipline. Training and Development: • To participate in training programs and other developmental needs as identified by the Physical Disability Support Service Co-ordinator, Children’s Services Manager, Director of Services or Enable Ireland. • To co-ordinate identified clinical training when required, inform participants and manage the waitlist for same. Health & Safety: • Support the promotion of health and safety and risk management across the service including the development and monitoring of policies and procedures and compliance with same. • Participate in accurate and timely health and safety reporting as required. • Participate in local health and safety initiatives and training as required. Ensure that effective safety procedures are in place in the execution of the duties of the post to comply not only with the Health, Safety and Welfare at Work Act but also with Enable Ireland’s policies and procedures. Quality Assurance: • Adhere to requirements in relation to the collection of data in accordance with agreed procedures and as required by Enable Ireland. • Work in accordance with Enable Ireland policies and procedures and promote adherence to same across the service. • Participate in EFQM (European Foundation for Quality Management) model for quality assurance as required. • Contribute to the ongoing development and implementation of Enable Ireland’s quality assurance initiatives and departmental standards. To minimise exposure to breaches of GDPR, strict compliance is required In the course of carrying out the duties of this job and working with others. This will include but is not limited to compliance with Enable Ireland’s suite of GDPR Policies & Procedures, attending all GDPR Training sessions and ensuring personal responsibility for implementing safeguards and measures as directed.
