Reporting/Accountability Relationship Grade III will report to Campus Manager.   Salary Salary Scale and Conditions of Service will be in accordance with the regulations of the Department of Education and Youth.   Post Summary/Purpose The appointees may be assigned to any of a very wide variety of areas or activities carried out in the Kerry ETB Scheme.     Duties 1.     To carry out the duties of a Clerical Officer under the supervision of a designated line manager 2.     To carry out general clerical duties e.g. manual and electronic filing, photocopying, answering/making telephone calls, dealing with e-mails etc. 3.     To assist in the drafting and issue of letters, memos and general information to staff/learners/public, as required. 4.     To assist in the implementation of organisational work activities & events, and supporting line managers and colleagues 5.     To be responsible for general administration and administrative efficiency of the assigned area. 6.     To maintain spreadsheets, databases etc. to produce management information that is accurate, reliable and available for departmental/organisational decision making. 7.     To keep such records appropriate to the post as may be required by the wider team and management 8.     To ensure high quality customer service in dealing with the public/learners/staff etc. e.g. responding to queries and providing information effectively and efficiently 9.     Use of Information Technology e.g. software relevant to the area of work, word processing, spreadsheets, database, e-mail and internet etc. 10.  To draft relevant correspondence as required e.g. letters, memos etc. 11.  Processing incoming and outgoing post (where required). 12.  To arrange meetings and take minutes as required. 13.  To work as part of a team in delivering services 14.  Liaise with staff in other schools/centres/departments, the public and outside agencies in a confidential, courteous and professional manner. 15.  Ensure all information received within the school/centre/department remains confidential. 16.  Maintain a strong focus on self-development, seeking feedback and opportunities for growth. 17.  Report any breaches or suspected breaches relating to Governance Systems to the relevant person. 18.  Comply with Kerry ETB Policies and Procedures. 19.  Research issues thoroughly to gather information needed in consultation with relevant line manager. 20.  Plan and prioritise work in terms of importance, timescales and other resource constraints, re-prioritising in consultation with relevant line manager. 21.  Liaising with Purchasing Unit in relation to submission of Request to Purchase forms and receipting of goods (Use of money-management systems for receipting of school fees and other monetary contributions, lodgement of fees to bank etc.)  22.  The recording and maintaining of student information on Department of Education database 23.  Carry out lawful orders of the Chief Executive 24.  Carry out any other duties appropriate to the grade which may be assigned from time to time.   Person Specification   Eligibility Criteria Candidates must (as per Circular 8/2017): ·       have the requisite knowledge, skills and competencies to carry out the role ·       be capable and competent of fulfilling the role to a high standard ·       have obtained at least Grade D3 in five subjects in the Leaving Certificate Examination (higher, ordinary, applied or vocational programmes) or equivalent or have passed an examination at the appropriate level within the QQI qualifications framework which can be assessed as being of a comparable to Leaving Certificate standard or equivalent or higher or have appropriate relevant experience which encompasses equivalent skills and expertise     Citizenship Requirement Candidates should note that eligibility to compete for posts is open to citizens of the European Economic Area (EEA) or to non-EEA nationals with a valid work permit. Successful applicant will be expected to gain their full Swimming Teachers Qualification and instruct swimming classes. f) National certificate in fitness or equivalent and knowledge of pool plant operations is desirable but not essential. Setting up, changing and storing equipment, furniture and apparatus according to the demands of the programme in any area of Sean Treacy Memorial Swimming Pool as directed by Supervisors. Assist and instruct individuals and/or groups in swimming tuition. Promote membership and facilities, where applicable. Supervise and control entrance areas, the foyer and pool. Officiate as steward during events. Effect repairs to equipment and maintain it in a proper and safe condition. Receive supplies and equipment at the swimming pool, record, unload and store. Supervision of all swimmers in the pool area. Cleaning out the pool and surrounds, changing areas, toilets and drains. Cleaning gym area, toilets and aerobics studio. Undertaking general cleaning and labouring duties around the facility. Completion of all necessary records. Report all defects and damage to machinery, furniture and fittings, and fabric of building and effect repair or remedial action where required. Accept general responsibility for the safety of all swimming pool users when they are engaged in activities. Be responsible for carrying and handling of money. Make necessary simple repairs to vending and change machines. Reception duties. Administer First Aid where required. Carry out regular water testing, log results and take action if required. Comply with all Health & Safety policies and procedures currently in place at Sean Treacy Memorial Swimming Pool and any new policies that may be introduced in the future. Comply with the Normal Operating Procedure and the Emergency Action Plan for Sean Treacy Memorial Swimming Pool. Complete all mandatory training. Wear any PPE that is supplied to you. Candidates successful at interview will be placed on a panel. Placement on a panel does not guarantee a job offer. The selection process is not concluded until references, Garda vetting, occupational health checks, verification of education qualifications, and mandatory swim test have been completed to the satisfaction of the Council. Feedback Candidates will be notified of the outcome of each stage at the earliest possible date. Candidates placed on a panel will be informed of their position on the panel. Interview marks will be provided upon written request. Panel Formation A panel will be formed for an initial period of one year and may be extended for a further year at the discretion of the Chief Executive. The panel may be used to fill permanent and temporary positions. Vacancies will be offered in order of merit.
