ROLE OVERVIEW Reporting to the Office Manager, the postholder plays a key role in supporting the effective day-to-day operation of the Dublin office and contributing to a professional, efficient and welcoming workplace environment. It is responsible for the smooth running of physical office environments, including facilities management, space planning, supplier and procurement coordination, and health and safety compliance. The function also contributes significantly to internal communications, staff wellbeing initiatives, and business continuity planning. This includes answering calls, transferring calls, addressing learner questions and needs and providing an overall welcoming environment. Duties and Responsibilities Main Duties and Responsibilities Administration To deliver a coherent and cohesive receptionist service, the Grade IV Receptionist will be required to: Maintain own knowledge of relevant procedures, practices and legislation to perform the role effectively and to ensure standards are met Effectively manage queries directed to Reception, including assessing, recording and passing on queries, ensuring that enquiries are dealt with in a timely manner and responses are recorded Meet and greet all visitors to the building Signpost people to the relevant department in the building Book meeting rooms Ensure meeting rooms are set up in advance of bookings Organise catering Provide practical help with training events and regional workshops Support the preparation and issuing of office documentation (correspondence, reports, etc.) to the highest possible standard Ensure that archives and records are accurate and readily available Ensure consistent Eligibility Criteria Qualifications and or Experience Applicants must, by the closing date of application, have the following: (i) Have satisfactory one year experience as a minimum Clerical Officer with Tusla Child and Family Agency, the Health Service Executive, or other statutory health agencies, or a body providing services on behalf of the Health Service Executive under Section 38 or 39 of the Health Act 2004, or a body providing services on behalf of Tusla under Section 56 or Section 59 of the Child and Family Act 2013 or (ii) Have obtained a pass (Grade D) in at least five subjects from the approved list of subjects in the Department of Education Leaving Certificate Examination, including Mathematics and English or Irish. Candidates should have obtained at least Grade C on higher level papers in three subjects or (iii) Have completed a relevant examination at a comparable standard in an equivalent examination in another jurisdiction or (iv) Hold a comparable and relevant third level qualification of at least Level 6 on the National Qualifications Framework maintained by Qualifications and Quality Ireland Note: Candidates must achieve a pass in Ordinary or Higher level papers. A pass in a foundation level paper is not acceptable.
