Apprentice Fitter

Reporting to the Site Asset Care Lead/Supervisor, the successful Candidate will work closely with the Site and Group Asset Care Team to deliver best in class plant maintenance and improvements in line with the Asset Care Strategy of the organisation. The Apprentice Fitter will have a key role to play in ensuring that the site always operates to the required mechanical standard. Core responsibilities for this role include: Learn and develop new practical craft related skills, knowledge and competencies. Apprenticeship Manager
LOCATION: ARMAGH, NEWRY OR PORTADOWN CAMPUS (TBC) (There will be a requirement to travel to other campuses) REPORTS TO DEPUTY HEAD OF APPRENTICESHIPS, WORK BASED LEARNING AND EMPLOYABILITY (AWE) JOB PURPOSE The post-holder will be required to identify, plan, organise, direct and control a diverse range of programmes to meet contractual requirements and apprenticeship opportunities for faculties as required. This will include managing the administration of the Department for the Economy (DfE) Operational Requirements (ORs) and associated administrative activities through the Training and Management System (TAMS). The post-holder will be responsible for processes across the College to ensure the effective delivery of a range of apprenticeship opportunities for students and employers. The post-holder will be required to represent the College in working groups with other relevant organisations as necessary. This will involve management of staff and all administrative processes associated with the following areas: • L2/L3 Apprenticeship Contracts • Higher Level Apprenticeships • Training contracts with external organisations KEY RESPONSIBILITIES AND ACCOUNTABILITIES The College is in a developing situation and the duties and responsibilities attached to this post will necessarily change over time. The postholder will have cross college responsibility for a team of Apprentice Liaison Officers and/or TAMS Administrators to oversee the administrative processes attaching to the job. The current duties and responsibilities will include any or all of the following: Financial Management The postholder will have cross-college responsibility for the management of data and coordination of the claims process, the data processes attaching to TAMS, College systems and EBS and the administrative processes attached including; • Managing the input of all participant details onto TAMS, College systems and EBS software packages and HLA Portal. • Develop and implement online systems for the collation of apprentice attendance. • Prepare and present monthly reports/spreadsheets on income and expenditure for the Department. • Manage the cost-effective use of resources to drive efficiencies in the department. • Ensure data is checked and updated for accuracy of reporting of KPIs. • Liaise with DfE ICT Services regarding the TAMS system and claims to resolve issues for all campuses as required. • Extracting details from claims to formulate payment of incentives to employers within specified timelines. • Making and verifying BACS payments. • Manage the process for claiming milestones achieved. • Monitoring outstanding certificates. • Verify relevant claims forms and invoices for payment. • Preparing budget projections for the WBL & Training department and DfE. • Compiling statistics and other information for Senior Management/DfE Audit as required. Operational / Compliance Responsibilities • Develop, implement and monitor operational and administrative policies and procedures to ensure compliance with college and funder’s requirements. • Liaise with the Deputy Head of Apprenticeships, Work-based Learning and Employability on the development and implementation of a robust reporting mechanism to include, e.g. Delivery Agreements, Personal Training Plans etc. which sets out a framework for compliance and applies a consistent approach to the review and management of the programmes. • Work with the Deputy Head of Apprenticeships, Work-based Learning and Employability on the development and implementation of a process for audit and verification ensuring procedures meet operational requirements. • Liaise with Faculties and contribute to the preparation and submission of annual funding proposals. • Engage with DfE and associated funders on operational matters. • Managing and processing claims for payment including modular claims, milestone claims, monthly claims or any other claim relating to the current programmes. • Manage the collation and checking of information requests for audit. • Deputise for Deputy Head of Apprenticeships, Work-based Learning and Employability as requested. • Manage promotion of apprenticeship opportunities via the apprenticeship social media channel. • Work with the College’s marketing team to ensure the promotion of the service throughout the College. • Represent the College as necessary in sectoral groups. Monitoring This will include responsibility for the processes which underpin; • The development and consistency of all documentation and authorisation procedures and ensuring that these are adhered to. • Managing the completion of PTPs in accordance with the operational requirements. • Liaising with external organisations and multidisciplinary teams for the delivery and administration of apprenticeship programmes ensuring at all times that agreed audit procedures are observed. • Organise events to increase engagement with companies/sectors and identify opportunities to promote placement culture with a range of businesses/sectors. • Informing and liaising with employers, apprentices and staff on all matters relating to the efficient operation of skills training programmes. • Setting up and carrying out procedures to assess the compliance of the workplace with health and safety, insurance cover and other relevant criteria as necessary. • Ensuring procedures are followed in informing Apprentices of the rules and regulations of their training programme including timesheets (if required), wage structures, holidays, absence reporting and completion of all necessary documentation. • Ensuring Apprentice attendance is monitored in college and in the workplace to assist with retention of Apprentices and achievement of milestones, liaising with employers as necessary. • Providing support for recruitment and marketing initiatives including open days, parents’ evenings and interviews as required. • Linking with the College Learning Support team and promotion of the specialist support service through liaisons with the SRC Learning Support Coordinator and SEN Coordinators in feeder schools. • Contributing to the interview, enrolment and induction process to identify apprentices with learning needs and specific learning difficulties and/or disabilities. • Liaising with Learning Support staff in setting up systems to identify and support the specific learning needs of apprentices with learning difficulties and/or disabilities. • Contribute to the support for student residential and other activities/projects both on and off site. • Assist with management of student/trainees placed with the Faculty for work placement. People Management • Act as line manager for the staff within the area of responsibility, including co-ordinate and direct the work of the team, conduct and discipline, performance management, attendance management and appraisal. • Participate as required in the recruitment and selection of staff in accordance with college policies and procedures. • Ensure that effective arrangements are in place for staff development and that performance reviews are conducted in accordance with agreed procedures. • Monitor and support staffing levels to meet needs/efficiencies, processing staff requests, interviewing and managing induction. GENERAL • Participate in the enrolment cover rota as appropriate. • Be required to undertake work outside normal working hours on occasions. • Prepare and implement marketing initiatives at a local level in conjunction with the Curriculum Teams and BEE to ensure a consistent and effective marketing profile of the College. • Provide reports, written and oral, as required. • Ensure that all documentation and authorisation procedures are adhered to.
