Examinations Assistant

Main Duties and Responsibilities: Organisation of Examinations To assist with the organising of examinations schedule, including on-line assessments/exams. To help maintain stocks of examination materials (e.g. examination entry forms and answer booklets). To advise staff and students of exam dates, times and rooms as appropriate. To assist in the receipt of and checking of examination papers and ensure they are securely stored. To assist with the assembling of exam papers, attendance sheets, answer booklets and examiner addressed envelopes for each examination. To assist with checking exam scripts against attendance and complete documentation before ensuring safe dispatch to relevant examining bodies/markers. Administration of Examinations 7. To liaise with and advise staff and students of exam closing dates, costs, subject titles/numbers and any other Examining Body information and requirements using notice-boards, memos and other communication. 8. To assist with the processing, maintenance and submission of all examination entries and assessment documentation to awarding bodies or appropriate external authorities (to include student record forms, certification requirements and examination entries). 9. To collect and accurately record all examination/assessment fees and lodging monies with Finance when necessary. 10. To respond to examination queries from staff, students and others. Recording and Advising of Examination Results 11. To process exam entries online. 12. To maintain computerised record system for examinations. 13. To assist with informing students and staff of results in a timely manner. 14. To liaise with staff to obtain certification for students on training programmes within appropriate timescales. 15. To assist in the dispatch of certificates to students and maintain appropriate records. 16. To process data accurately in connection with internal and external reporting requirements. 17. To assist with internal and external audit requirements where appropriate. Unique Learner Number (ULN) Allocation Process 18. To support the ULN allocation process: generating and processing bulk and individual ULNs and resolving errors – liaise with UK Learning Records Service (LRS) and follow up with individual students as necessary. General Duties The post holder is expected: • To promote and raise the profile of the College and the services it provides to the local business and civic community. • To promote and actively contribute to the Colleges’ Mission, Vision and Values. • To fully comply with and actively promote College policies and procedures. • Within the context of the post, ensure full compliance with College Health and Safety requirements. • To participate in staff training and development activities to update and enhance own knowledge, skills and professional competence needed to carry out the role effectively. This job description is not prescriptive and the post holder may be expected to undertake other duties appropriate to the grade as may be assigned by the Principal and Chief Executive or nominated officer(s). If you take up an appointment you should note that you may be required to work at any of the College’s Campuses as necessary. Duties may change as the College develops, therefore the person appointed will be expected to be flexible in relation to duties performed, subject to consultation. Qualifications & Experience A qualification at Level 4 or above OR Have at least 3 years' recent experience working with a Management Information System to include data input, retrieval and analysis. GCSE English Language and Maths (Grade A* – C), or equivalent. Excellent ICT skills and skilled in data entry maintaining high levels of speed, accuracy and attention to detail. Excellent organisational skills with the proven ability to deal effectively with a range of conflicting priorities and deadlines. Excellent oral and written communication skills, and a flexible approach with a focus on service and performance. General Have access to a form of transport that enables you to carry out the duties of the post. Terms and Conditions Salary: Band 3 points 5 – 6 (£25,583 – £25,989 per annum). Commencing on £25,583 per annum. Contract Type: Permanent Hours of work: 36 hours per week Location: Dungannon Holiday Entitlement: 12 public holidays plus 23 days rising to 29 days after 5 years’ continuous service Pension: In accordance with NJC terms and conditions, the postholder will automatically be enrolled in the NILGOSC pension scheme which offers a range of benefits commensurate with public sector pension schemes.
