Work pattern: 37 hours per week, Monday – Friday, 9.00 am – 5.00 pmBy its nature the post will require flexible working, for example, work outside normal office hours, including evening meetings and weekends as required.Tenure: This is a full time permanent post.Main Purpose of PostTo be responsible and accountable to the General Manager (Facilities) for the provision of an effective Corporate Reception service, administrative and clerical support in co-operation with other members of the Civic Facilities team.Ensure that all responsibilities are carried out in a timely and effective manner and that general confidentiality is maintained in all areas relating to the work of the Council.MAIN DUTIES AND RESPONSIBILITIES1.       To provide an efficient, professional, comprehensive, customer focused service in relation to internal and external communications with visitors to the Council and to the general public. This will include meeting, greeting and directing visitors, staff and contractors as required. 2.       To handle all received calls using the Council’s voice telephony infrastructure.3.       As the first point of contact for users entering the facilities, provide relevant information and answer queries as requested. Deliver a professional high level customer focused service and promote a positive image of the Council at all times.4.       Provide a range of front of desk customer services including assessing and addressing customer queries/complaints, taking messages and directing calls and enquiries to relevant departments.5.       Assist the General Manager (Facilities) to review, design and improve front line systems and procedures for the effective delivery of customer services.Room Bookings6.       Operate the room booking system for Civic Buildings and Town Halls and assist in optimizing the hire of Council facilities in accordance with agreed operational policies and procedures. Reception Duties7.       Prepare, maintain and tidy the reception area ensuring that ICT, telephony and postage systems and other processes are operational on a daily basis and updated as and when required.8.       To liaise with departments and co-ordinate the answering of telephones, voicemail, advisory messages, pick-ups, etc. and give advice on specific telephone functions.9.       To redirect unanswered calls and to ensure, so far as possible, that these callers are connected to an appropriate person in a timely and efficient manner.10.   To assess, advise and deal with members of the public who contact the Council by telephone for information about other local and central government agencies, ie Northern Ireland Housing Executive, Power NI etc. 11.   Process incoming and outgoing mail, deliveries and couriers, in accordance with Council policy and procedures. Liaise with suppliers when required.12.   To assume responsibility for the receipt of tenders in accordance with the closing dates and times specified. Complete the relevant documentation and ensure the safe and secure storage of all documents until collected by the relevant officer. 13.   Control access to the facility by visitors and users in accordance with Council policy and procedures.14.   Monitor and keep under review the Council’s internal telephone lists. Liaise with ICT Department and ensure that updated telephone lists are circulated as required.15.   Operate office equipment as required. Maintain the associated records and report faults to the General Manager (Facilities).16.   Process applications and receipt payments for dog licence fees, sale of bins, license applications, fuel stamps, fixed penalty payments, protected tenancy, sale of dogs and dog microchipping. Issue receipts for payments received via Total and update system. Complete card and cash payments and assume responsibility for the preparation and reconciliation of lodgments on a daily basis in accordance with Council policy and procedures.17.   Undertake additional cash handling duties including responsibility for the petty cash float. Record monies issued and recoup float.18.   Opening and closing of the Council’s strong-rooms and responsible to the access and removal of documentation in accordance with Council policy and procedures. 19.   To liaise with members of the public to allocate times of appointments for the Registration Service using Outlook calendars over four locations.20.   To deal effectively and sensitively with complaints at reception, log onto appropriate software and inform the relevant officer.21.   Prepare purchase orders, process and code invoices relevant to the service area, in accordance with Council policy and procedures.22.   Collate timesheets as required check and code invoices received from recruitment agencies, for approval by the General Manager (Facilities).23.   Process requests for bulky waste collection services, receipt monies and process via Te-Care, in accordance with Council procedures.24.   Process requests and be responsible for ordering stationery and consumables for a range of Council facilities in accordance with Council procedures and systems. 25.   Undertake the full range of clerical and administrative duties as required including filing, photocopying, collating, faxing, using Microsoft Office to prepare and circulate documents, access and use of the internet for research and information purposes.26.   To be responsible for room bookings, preparing calendars and liaising with caretaking staff in relation to room set up, catering arrangements and other requirements for meetings.27.   To train temporary staff, agency workers and students on work placements as required.General28.   By its nature the post will require flexible working to meet the needs of the service. 29.   Act in accordance with the Code of Conduct for local Government employees.30.   Comply with and actively promote the Council’s policies and procedures, including those relating to Fair Employment, Equal Opportunities, and Health, Safety and Wellbeing.31.   Comply with and actively promote the appropriate standard of record keeping and information governance practices in conducting duties of the post.32.   Undertake the duties outlined above in a way which will enhance and protect the reputation and public profile of the Council.33.   Undertake any other duties as deemed appropriate to the achievement of the purpose and function of this post.The list of duties/responsibilities must not be considered comprehensive nor exhaustive. <ul>Location: You will be based in Coleraine Leisure Centre, 26a Railway Road, Coleraine, BT52 1PB, however when required you will be asked to work flexibly throughout the Council areas, ensuring that resources are deployed effectively and in order to respond to service priorities and to facilitate professional development.Responsible for: The following functions and services, in accordance with the organisational structure and the staff employed to deliver these services.·       Causeway Coast and Glens Borough Council School Swimming Programme.Work pattern: 30 hours per week, Monday – Friday 9 am to 3 pm.(The above working pattern is specific to school term time, alternative working patterns may be required outside term time.)Tenure: This is a permanent part-time post.Main Purpose of Post1.      The post holder will be responsible for the design and delivery of comprehensive, efficient, customer focused school swimming programme at a Type 1 Leisure facilities (and other agreed locations/special events) as required, in line with the needs of the service. 2.      The post holder will be involved in the instruction, supervision and control of those taking part in classes and/or activities, always enforcing Health and Safety regulations and standard operating procedures.3.      The post holder will be required to positively support management and colleagues and assist in the provision of customer focused service delivery.4.      The post holder will be flexible to provide cover in any related duty within Sport &amp; Wellbeing and will be required to work flexibly across and throughout the Council area, ensuring that resources are deployed effectively, in order to respond to service priorities and to facilitate professional development.5.      Ensure that all responsibilities are carried out in a timely and effective manner and that general confidentiality is maintained in all areas relating to the work of the Council.MAIN DUTIES AND RESPONSIBILITIES6.       Assist the Duty Officer with the organisation and delivery of the Centre’s School Swimming programme.7.       Carry out swimming instruction in accordance with an accredited swimming governing body swim syllabus, including compiling course records and lesson plans, and providing written reports as required.8.       Outside of normal school term time, the post holder will be required to assume adjusted duties and work pattern reasonably allocated by the Duty Officer inclusive of Lifeguarding.9.       Ensure that adequate stocks of badges, certificates, promotional items and swimming aids required for the swimming programmes are maintained and keep stock control records of same.10.   Ensure compliance with the site-specific emergency action plan and standard operating procedures.11.   Ensure that Council policies and procedures on child protection and vulnerable adults are always adhered to.12.   Responsible for ensuring accidents / incidents are dealt with efficiently and promptly while accurately recording related details. Inform line manager(s) of all such incidents.13.   Report any defects or damage to equipment or buildings to appropriate personnel in order to ensure problems are dealt with and do not pose a risk to other employees and/or customers.14.   Liaise positively with individuals, schools, clubs and other organisations as required to deliver a quality service which meets the needs of customer and the needs of the service.15.   Assist the Duty Officer with promotion and administrative duties associated with the post. 16.   Maintain a high standard of customer care, including providing feedback to customers, and providing a first-line response to complaints, in line with Centre procedures.
