Overview of Role and Context The Campus Secretary plays an essential role in supporting the administration and functioning of the campuses in Wexford which offer a diverse range of courses to both full time and part time students. This role is a key contact point for the campus and requires engagement with multiple internal departments and external third party vendors for the smooth operation of the University functions and facilities. This role handles diverse responsibilities across a spectrum of functions including but not limited to reception, academic admissions, finance, Human Resources and estates administration. Key Responsibilities and Duties The person appointed will have the following duties and responsibilities: • Establish and maintain efficient office procedures, workflows and scheduling systems to ensure consistency, productivity and flexibility in managing daily and unexpected priorities. • Train and support new staff through structured induction, role specific instruction and on the job training, ensuring understanding of University policies, office procedures and job responsibilities. • Collaborate effectively with academic and administrative staff, sharing responsibilities, contributing to team objectives and fostering a cooperative and respectful team environment. • Manage internal and external communications professionally, including individual and group email correspondence with staff and students, while maintaining accurate and up to date contact lists. • Prioritise and organise workload effectively, identifying urgent and high impact tasks, delegating where appropriate and ensuring timely support to students, staff and the University. • Coordinate appointments, room bookings, examinations and events using shared calendars and booking systems, including arrangements for external examiners and campus facilities. • Handle confidential and sensitive information with accuracy and discretion, including student records, staff payroll details, travel documentation and financial requests, in full compliance with University data protection and governance policies. • Undertake additional duties and responsibilities as assigned by the manager, with the flexibility to work across a range of areas or activities as required.
