Organisation: Tourism Northern Ireland (Tourism NI) Location: Not specified (likely within Northern Ireland) Salary:<ul><li>£34,524 – £35,712</li><li>£37,694 – £38,990 (including pay award effective August 2025)</li><li>Plus 19% employer pension contribution</li></ul>About the RoleThe Interim Corporate Events Officer will promote positive and proactive relationships with industry and stakeholders by organising and managing corporate events and hospitality on behalf of Tourism NI. This is a key role within the Industry Development unit under the Strategic Development Division.The Officer will provide a high-quality event management service in line with Tourism NI branding and standards, while managing internal collaboration and contracted third-party event companies. The post also includes financial and brand management responsibilities and plays a central part in promoting Tourism NI’s public image.Main Duties and ResponsibilitiesEvent Planning &amp; Delivery<ul><li>Develop event documentation such as checklists, criteria, and briefing templates.</li><li>Prepare and maintain a Corporate Events Calendar.</li><li>Plan and coordinate corporate events, webinars, hybrid, and virtual events.</li><li>Coordinate specific elements of the annual Meet the Buyer Workshop, including:<ul><li>Venue selection</li><li>Catering</li><li>Branding</li><li>Pre- and post-event hospitality</li></ul></li><li>Liaise with internal departments to gather event requirements.</li><li>Conduct site visits and select venues as required.</li></ul>Supplier &amp; Stakeholder Engagement<ul><li>Negotiate and agree rates with:<ul><li>Hotels</li><li>Restaurants</li><li>Catering providers</li><li>Musicians</li><li>Merchandisers</li></ul></li><li>Liaise with suppliers of gifts and branded materials.</li><li>Collaborate with the Communications Team on PR opportunities.</li><li>Manage contracts for:<ul><li>Appointed event management companies</li><li>Corporate display support suppliers (in partnership with other Tourism NI units)</li></ul></li><li>Build and manage relationships with internal and external stakeholders.</li></ul>Employee &amp; Resource Management<ul><li>Line manage the Corporate Events Placement Student, including:<ul><li>Mentoring</li><li>Motivation</li><li>Coaching and development</li></ul></li><li>Support the Unit Manager with project planning and performance alignment to Tourism NI standards.</li></ul>Brand Management<ul><li>Ensure professional and consistent branding at all corporate events.</li><li>Oversee corporate display material logistics, setup, and removal.</li><li>Work with internal stakeholders and display suppliers to manage promotional presence.</li></ul>Financial Management<ul><li>Administer the event management budget, ensuring:<ul><li>Value for money</li><li>Compliance with Tourism NI’s Financial and Governance Procedures</li></ul></li><li>Assist in budget portfolio management and contract appraisals.</li><li>Liaise on Economic Appraisals and Impact Studies.</li><li>Oversee payment processes linked to corporate events.</li></ul>General Duties<ul><li>Act as a central contact point for internal communications relating to corporate events.</li><li>Draft reports, emails, and responses for senior management, board members, government, and the public.</li><li>Contribute to strategic planning and delivery of Unit Plans and tourism targets.</li><li>Represent the Unit at meetings, task forces, or working groups.</li><li>Provide cover for the Unit Manager when required.</li><li>Stay updated through training and industry knowledge.</li><li>Maintain records in compliance with data governance policies.</li><li>Uphold all Tourism NI policies, values, and audit recommendations.</li><li>Perform other duties aligned with the post’s grade, as needed.</li></ul>Person SpecificationEssential CriteriaOption 1<ul><li>Qualification: Sixth-level qualification (undergraduate degree) as per UK qualification frameworks.</li><li>Experience: Minimum 2 years of experience in corporate event management in either the public or private sector.</li></ul>Option 2<ul><li>Experience Only: Minimum 4 years of successful corporate event management experience in the public or private sector.</li></ul>Personal Effectiveness – Required Skills<ul><li>Strong communication skills – oral and written, including presentations.</li><li>IT literacy – proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook).</li><li>Excellent interpersonal, negotiation, and problem-solving skills.</li><li>Proven ability to build strong working relationships.</li><li>Self-motivated and able to take initiative and lead within a team.</li><li>Strong organisation, planning, and project management capabilities.</li><li>Customer-oriented approach with commitment to continuous improvement.</li><li>Ability to influence stakeholders and enhance satisfaction.</li><li>Capable of managing budgets, resources, and multiple projects simultaneously.</li></ul>
