The University is looking to build on the successes of the visitors’ centre and are therefore seeking an experienced and driven individual to support the Head of Visitors’ Centre in maximising our revenue and impact. The Operations Officer will provide support in a range of areas with a specific focus on revenue maximisation through tours and merchandise, the delivery of public/school tours, and management of staff rotas and operations. The post reports directly to the Head of Visitors’ Centre. Key Responsibilities Sales and Marketing • Deliver a sales and marketing plan to support revenue maximisation, utilising the full marketing and channel mix. • Manage inventory and stock control systems and profit/loss accounts to ensure we are aligning demand and supply, identifying trends and needs of our audiences and customers and that this informs decisions on stock, price and margins. • Review supply chain management and distribution channels to enhance audience reach, grow customers, reduce costs and increase sales. Operations and Administration • To support the Head of Visitors’ Centre in staff selection and training, staff rotas, and to oversee staff to ensure operating procedures and policies are adhered to. • To support new staff through their induction process and training. Identifying team and individual training requirements. • To maintain standards in the Visitors’ Centre supervising the team in the absence of the Head of Visitors’ Centre, and to provide outstanding merchandise displays, promotional offers and tour experiences. • To undertake stock control routines, cash handling and the daily reconciliation of takings in line with department procedure, escalating any discrepancies that arise for investigation. • To be a trained fire warden, first aider and able to lead the team confidently during an emergency situation. • To be a key holder and ensure all open and close routines are completed effectively. • Carry out a range of general administrative task as directed by the Head of Visitors’ Centre. Tours and Activities • To support the Head of Visitors’ Centre in delivering a range of tours to a range of audiences, based on capacity and demand, and other activities and projects as directed by the Head of Visitors’ Centre. Note: as the University continues to expand and evolve, it is likely that flexibility in regard to the allocation of specific duties will be necessary. Accordingly, the list of responsibilities above is not intended to be exclusive or restrictive. Duties may be added or withdrawn but any such alterations will take place within the remit of the Head of Unit and after consultation with the appointee. Selection Criteria Decisions made at shortlisting and interview will be based on the following criteria: • Substantial experience in retail/outreach/tourism; • Understands and can apply sales and marketing principles to deliver successful plans with measurable impact on bottom line; • Strong analytical skills; • An understanding of supply chain management, stock management and profit and loss accounting that can be applied to this business unit; • Creative flair with design skills an advantage; • Strong communicator with good interpersonal skills – able to communicate, and build a rapport with diverse audiences and stakeholders; • Able to form effective working relationships, with the ability to train & motivate; • Must be flexible, calm and efficient under pressure with the ability to adapt to changing priorities. Desirable Criteria • Experience of working with content management systems and social media; • Experience of video/audio editing an advantage; • Understanding of the issues and challenges affecting the HE sector; • Evidence of Lean/Six Sigma expertise and application; • Working knowledge of the Irish language an advantage. Conditions of Employment: The University, at its discretion, may undertake to make an additional appointment(s) from this competition following the conclusion of the process. Salary scale [new entrants]: €42,404 – €52,256 (Scale B) / €40,378 – €49,737 (Scale A). Salary placement on appointment will be in accordance with public sector pay policy.* As required by public pay policy for the higher education sector, new appointments to a direct entry recruitment grade will generally be at the minimum (1st point) of the relevant scale. For existing public servants, the restriction to the first point on scale may be varied where a person is appointed to the same or an analogous grade, role or position as their previous public service employment. The rate of remuneration for all appointments may be adjusted from time to time in line with government policy Normal hours of duty are Monday to Thursday inclusive 9.00 a.m. to 5.30 p.m. and 9.00 a.m. to 5.00 p.m. on Friday, with 60 minutes for lunch daily. Due to the nature and seniority of the post, however, it may be necessary to extend and vary these hours from time to time in order to meet the exigencies of the post. Annual Leave will be 27 days per annum. This leave is exclusive of public holidays and Good Friday. The leave year commences on 1 July annually and four days annual leave must be held for the Christmas closure period.
